Experience: Minimum of 2-4 years of customer facing experience in the hospitality, travel, or real estate industry., Understanding of the hotel industry’s reservations landscape with experience in group bookings.
Job Description:
As a key member of the West Coast Sales team, you will support our sales teams in two significant ways: 1. Coordinate and manage the rooming reservations booking process for group, transient, extended stay and VIP reservations. 2. Coordinate B2B (Business to Business) revenue opportunities and activities as needed for the Sales Team.
The Sales Coordinator will be a key member of our regional support team responsible for processing corporate, group, social and extended stay leads, communications, and payments. As a sales support coordinator, you will be a subject matter expert in sales segments, using various sales systems, strategies and processes to convert business. The Group Rooms Support coordinator will be agile and have a keen sense to be able to multitask these various tasks throughout their day and partner cross-functionality as needed for sales bookings.

Manage Group Reservations:

Coordinate room blocks and manage all aspects of group bookings.

Monitor group pick-up, cut-off dates, and rooming lists.
Liaise with Clients and Sales Teams:

Act as the secondary/additional contact between the property team and group clients or event planners

Work closely with sales and property teams to ensure group & sales transient reservations are accurate prior to arrival
Prepare and Maintain Rooming Lists:
-
Collect and input group rooming lists accurately.

Update and verify changes with both Opera & EMPOWER.
Track Inventory and Availability:
-
Monitor room inventory for group bookings to avoid overbooking.

Adjust group allocations as needed and coordinate with revenue management.
Ensure Group Billing:

Ensure accurate billing instructions and payment arrangements for master pay/individual pay and combination.

Work with accounting to resolve billing issues post-stay.
Ensure Quality Service and Guest Satisfaction:

Address any issues or special requests from group guests before, during, or after their stay.

Ensure compliance with brand standards and service expectations.
Maintain Accurate Records and Reports:

Generate group status reports and and completion of group post stay audits

Submit 3rd Party commission invoices to accounting post/around the block audits
Handle Administrative Duties:

Maintain filing systems, manage correspondence, and update group data in the property management system (PMS).
