In this part-time role, a Practice Support Specialist will execute tactical tasks to support Strategists and Senior Strategists within DVMelite. Applicants should have a Bachelor’s degree and up to 2 years of relevant experience in a support or administrative role.

What you'll get to do:
A Practice Support Specialist is an entry-level, part-time role focused on tactical execution and learning the strategist model. They support Strategists and Senior Strategists with data gathering, communications, fulfillment orchestration, and member meeting preparation — serving as the talent pipeline for future Strategist roles.
Practice Specialist Key Responsibilities:
- Own the member meeting protocols.
- Gather paperwork, pull reports, and contribute insights and recommendations ahead of meetings
- Participate in member meetings for visibility, learning, and note-taking when schedules align
- Rely on AI notetakers when unable to attend meetings
- Capture meeting notes and action items in Hubspot CRM
- Update Teamwork implementation plans based on Senior Strategist directives
- Update the member victory report
- Collaborate with Senior Strategist and Strategists in weekly team meetings, helping to triage challenging cases and offering solutions for added client value.
- Support the development of an action plan
- Support the execution of the engagement and implementation plan
- Maintain clear and concise documentation in Hubspot CRM
- Serve as a supporting contact for client fulfillment needs.
- Utilize a shared inbox and ticketing system
- Own level 1 support: website updates, account setup, edits to marketing collateral
- Monitor ticket progress and handle internal/external communication to keep tickets moving forward
- Escalate needs and provide task updates to Strategists
- Execute engagement, onboarding, and offboarding protocols.
- Drive defined action plan for low-engagement members through outreach, ensuring efforts are well documented
- Own internal member onboarding and offboarding tasks, ensuring systems and CRM are up to date
- Own team documentation.
- Manage CRM and ensure data accuracy across assigned member portfolio.
- Maintain updated processes and collateral in the team wiki.
What You Should Bring To The Team:
Education & Experience
- Bachelor’s degree (completed or in progress) in Business, Marketing, Communications, Healthcare Administration, or a related field preferred.
- 0–2 years of relevant experience in a support, administrative, or client service role.
- Internship or part-time experience in a professional setting is an asset.
Skills & Competencies
- Strong organizational skills with attention to detail and accuracy.
- Excellent written and verbal communication skills; professional and clear communicator.
- Proficient in technology and digital tools, including:
- CRM platforms (e.g., HubSpot preferred)
- Project/task management software (e.g., Teamwork, Asana, Trello)
- Shared inbox or ticketing systems
- Microsoft Office or Google Workspace
- Quick learner, adaptable to new systems, tools, and workflows.
- Analytical mindset – able to draw insights from data and follow logical processes.
- Problem-solving orientation with the ability to escalate appropriately.
- Collaborative and team-oriented, with a service-first mindset.
- Located in AZ, CA, CO, FL, GA, IL, MI, NC, PA, SC, TX, WI (Must be able to align with members' time zones).

Hours, Availability, & Location
This role will be part-time. In general, you should be available during regular business hours in your time zone. You should have a permanent address and be authorized to work in one of the following U.S. States: AZ, CA, FL, GA, IL, MI, NC, PA, SC, TX, WI. Compensation & Benefits
