Job Description:
The Operations Support Specialist plays a critical support role in ensuring the smooth running of both operational and people-focused functions. This position is responsible for maintaining vendor and tax documentation, coordinating hardware procurement, supporting hiring and onboarding logistics, and managing employee benefits updates. As part of a small, dynamic team in a growing SaaS company, this role is ideal for a resourceful and detail-oriented professional who thrives on variety and collaboration.
The ideal candidate is someone with business administration/operations experience looking for a part-time, remote position 20-30 hours/week. This role is an internal support role assisting the operations team. Only candidates with proven experience will be considered. Candidate must be able to work a set schedule.
Duties and responsibilities of the Operations Support Specialist include, but are not limited to:
Operations Support
- Record and track hardware orders; confirm availability and place orders as needed
- Maintain accurate records in CRM including account and contact updates
- Answer incoming calls and route them appropriately
- Support vendor onboarding processes including W9 collection and supplier enrollment
- Maintain records for business licenses, registered agents, tax exemption certificates
- Manage sales tax filings and license renewals
- Source quotes for hardware and manage procurement for new and existing clients
- Coordinate with suppliers on product availability
- Assist Business Operations Coordinator with customer quotes, as needed
People & Talent Support
- Post job openings, screen candidate applications, and coordinate candidate pipeline
- Assist with onboarding activities for new hires in collaboration with relevant team members
- Support benefits administration, including open enrollment and mid-year changes
- Assist Business Operations Coordinator with scheduling, logistics, and planning for company meetings and events
General & Special Projects
- Partner with Director of Operations on special projects, as needed
- Collaborate with other operations team members to streamline processes and improve administrative efficiency
Qualifications of the Operations Support Specialist include, but are not limited to:
- 2+ years in an administrative, HR, or operations support role
- Strong organizational skills and attention to detail
- Proficiency with CRM tools and productivity software (e.g., Google Workspace, Microsoft Office)
- Excellent written and verbal communication skills
- Ability to handle sensitive information with discretion
- Self-starter with a flexible, can-do attitude
Preferred Qualifications
- Familiarity with HRIS or benefits administration systems
- Experience working in a small business or startup environment
- Exposure to sales tax and/or business license filings
