Human Resources Recruiting Assistant

Summary/Objective We are seeking a motivated and detail-oriented HR Recruiting Assistant to join our Human Resources team. This position offers hands-on experience in various aspects of HR operations including recruitment, onboarding, employee engagement, and administrative support. It’s a great opportunity to gain exposure to the HR field and develop essential workplace skills.

Key Responsibilities:

1. Job Posting & Advertising

• Create and post job ads on various job boards, company website, and social media platforms. 
• Update and maintain job descriptions in the HR system.

2. Resume Screening & Candidate Communication

• Review and screen resumes for basic qualifications.
• Maintain applicant tracking system (ATS) with up-to-date candidate information.
• Communicate with candidates via email or phone regarding application status, interview scheduling, and follow-ups.

3. Interview Scheduling

• Coordinate interview logistics with candidates and hiring managers.
• Schedule phone, virtual, and in-person interviews.
• Prepare interview materials and ensure timely communication of interview details.

4. Background Checks & Reference Verifications

• Initiate background checks and follow up on results.
• Contact references and document responses. 

5. Onboarding Support

• Assist with the onboarding process by preparing new hire paperwork through Onboarding Portal.
• Ensure completion of pre-employment requirements (e.g., I-9 forms, onboarding documents, etc.)

6. Recordkeeping & Reporting

• Maintain recruitment files and documentation in compliance with HR policies and legal requirements.
• Generate weekly recruitment reports.

7. General Administrative Support

• Assist recruiters and HR staff with projects and general tasks.
• Attend HR meetings and take notes if needed.
• Support event planning for career fairs and recruitment events.
• Maintain and update employee records and HR databases
• Assist in preparing HR reports and documentation
• Participate in HR projects and meetings
• Ensure compliance with company policies and confidentiality of sensitive information
• Provide general administrative support to the HR team

Education and Experience:

• Bachelor’s degree in Human Resources, Business, or related field preferred.
• Prior experience in HR or administrative role required.
• Strong organizational and communication skills.
• Proficiency in MS Office and HRIS software.
• Ability to handle confidential information with discretion.

Work Environment

This job operates in a professional office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.  

Position Type and Expected Hours of Work

This is a part-time position (20 hours per week, in office M-F) with the potential to transition into a full-time role based on performance and business needs. 

Travel

This role requires no travel.
