Job Description:
Reporting to the Director of HR, this dual-role position will be responsible for managing day-to-day office operations while also providing high-level administrative support to the CEO and executive team as needed. The ideal candidate is resourceful, detail-oriented, and thrives in a fast-paced environment. This role requires a combination of operational efficiency, strong organizational skills, and the ability to anticipate and meet the needs of a growing team.
Responsibilities:
Executive Support:
- Provide comprehensive administrative support to the CEO and executive staff, including calendar management, meeting coordination, and travel arrangements.
- Prepare and organize materials for meetings, presentations, and reports.
- Manage confidential and sensitive information with discretion and professionalism.
- Act as the point of contact between executives and internal/external stakeholders.
- Assist with special projects and strategic initiatives as directed by the CEO or executive leadership.
Office Management:
- Oversee day-to-day office operations, ensuring a smooth and efficient workplace.
- Maintain office supplies, manage vendor relationships, and coordinate office maintenance.
- Support a positive office culture by planning and coordinating employee events, meetings, and team-building activities.
- Serve as the main point of contact for office visitors, deliveries, and facilities-related needs.
- Manage relationships with building management and ensure compliance with workplace safety protocols.
HR & Administrative Support:
- Partner with the HR team to support onboarding and offboarding logistics, including setting up workstations and coordinating orientation.
- Assist with employee engagement initiatives, internal communications, and company-wide events.
- Help facilitate company-wide meetings, including all-hands meetings, town halls, and team offsites.
- Provide general administrative support as needed to enhance company operations.
