Job Description:
Purpose
The Corporate Compliance Specialist supports the organization’s efforts to ensure compliance with regulatory requirements, corporate policies, and governance standards. This role focuses on maintaining licensing, recordkeeping, and regulatory filings while assisting with audits and corporate compliance initiatives. The Compliance Specialist plays a key role in monitoring deadlines, maintaining documentation, and supporting internal controls and best practices across the organization.
Responsibilities
- Support the application and renewal process for advisory/rating organization insurance licenses and ensure timely submission of filings.
- Maintain business entity licenses across all required jurisdictions, including research of new requirements and coordination of necessary registrations.
- Prepare corporate annual reports for submission and maintain registered agent information across all jurisdictions.
- Maintain accurate corporate records, including certifications of incorporation, bylaws, licensing documents, and membership agreements.
- Support the compliance team in preparing for and supporting NAIC and other audits by maintaining audit-ready documentation and tracking compliance with governance standards.
- Assist with managing the membership proxy process and annual meeting compliance in accordance with AAIS bylaws.
- Monitor and maintain contract and agreement repositories, including tracking expiration and renewal dates for service contracts and membership agreements.
- Support training, monitoring, and policy implementation activities led by the Compliance Manager.
- Assist with investigating and documenting compliance-related issues as needed.
- Partner with departments such as Legal, HR, and Finance to ensure alignment on regulatory and policy obligations.
- Perform additional duties as assigned.
Knowledge, Skills, and Abilities
- Strong organizational and time management skills with the ability to manage multiple deadlines and priorities.
- Detail-oriented with a focus on accuracy and completeness in documentation and filings.
- Familiarity with regulatory environments and corporate compliance practices; previous exposure to NAIC standards is a plus.
- Solid verbal and written communication skills.
- Ability to work independently, exercise sound judgment, and handle sensitive information with discretion.
- Proficiency in Microsoft Office and document management systems.
- Ability to work effectively both independently and in a team environment.
- Ability to communicate effectively across multiple channels and asynchronously in a remote-first working environment.
