Job Description:

Position Summary

 The Box Office Associate's primary responsibility is customer service and ticket sales. They are tasked with providing exceptional service to patrons while effectively handling ticket sales for a diverse range of events across multiple venues, providing accurate information on shows and facilities, and handling phone inquiries courteously. Substantial focus is placed on assisting subscribers with their seasonal subscriptions. Other duties include overseeing Box Office upkeep, managing inventory, and handling deliveries. The position requires punctuality, adherence to uniform standards, and a consistently positive attitude towards customers, colleagues, and the organization. 

Requirements

Customer Service: 30%

  • Works in Box Office window selling tickets to customers and providing accurate information on a variety of subjects relating to shows, facilities, related resources, and theatre and ticketing policies; answers phone inquiries in a polite, courteous manner.
  • Consistently displays a positive demeanor towards customers, co-workers, supervisors, cast members, and shows.
  • Assists subscribers with their needs pertaining to their season subscription.

Operations: 65%

  • Utilizes multiple software systems to sell tickets to diverse customers, for a wide variety of events at all venues operated by Hennepin Arts, while providing welcoming and memorable customer service.
  • Provides positive and instructive technical and customer service support for other Box Office Associates by answering questions and assisting them on the Ticketmaster system and the Archtics system.
  • Oversees the daily upkeep of the Box Office including accurate filing, regular cleaning, and archiving past show and operational materials.
  • Maintains adequate supply inventory for the Box Office.
  • Tracks and maintains lost and found items or reports of lost items in accordance with standard Box Office policy.
  • Accepts daily mail and delivers throughout the theatres and between the organization's offices, as needed.
  • Accurately performs routine duties related to opening/closing the Box Offices in accordance with standard practice. Duties include:
  •      o Opening: Counting banks, unlocking doors, turning on lights etc.
  •      o Closing: Running reports, locking doors, locking files, transporting deposits, etc.
  • Arrives on time for scheduled shifts, returns from breaks on time.
  • Maintains appropriate appearance and wears complete uniform during all scheduled work hours.

Other: 5%

  • Perform other duties as assigned.

Qualifications

Required:

  • Evening and weekend availability.
  • Proven background or experience in customer service and/or conflict resolution.
  • Strong computer skills required.
  • Previous experience handling cash required.
  • Establishes and maintains effective relationships.
  • Gracefully receive input and direction from various colleagues.
  • Read, analyze, and interpret ticketing reports, event build sheets and other technical documents in a variety of formats
  • Effectively present information to staff, clients, coworkers and the general public, while respecting confidentiality.
  • Active listener.
  • Offers assistance and support to co-workers.
  • Works cooperatively in group situations.
  • Effectively modifies a planned course of action based on new circumstances.
  • Looks for ways to improve and promote quality.
  • Demonstrates accuracy and thoroughness.
  • Effective communication skills, including clear and concise writing skills.
  • Fosters team cooperation.
  • Basic mathematical competency and cash counting.
  • Computer proficiency: Word, Excel and Outlook.

Desired:

  • Keyboarding proficiency with 10-key.
  • Able to quickly learn proprietary ticket sales software.
  • Box Office/Ticketing experience.
  • Knowledge of Ticketmaster Host and Archtics software strongly preferred.
  • Work or extracurricular activity history that demonstrates the pursuit of a career in the live entertainment and event management field.
  • Knowledge and interest in popular culture and live entertainment.
  • Bilingual in English/Spanish is a plus.

Physical Requirements

  • Due to the nature of our work, employees may be required to work some non-traditional business hours including evenings, weekends, and holidays.
  • Ability to lift up to twenty-five (25) pounds.
  • Ability to stand for extended periods of time while navigating multiple levels and areas within a venue.
  • Use computers for extended periods of time.
