Job Description:
Administrative Assistant III, FNEC
Food and Nutrition Education in Communities (FNEC) in Cornell University’s Division of Nutritional Sciences provides program leadership, develops curricula and staff training, and conducts research to improve nutrition and prevent obesity, with a focus on limited-resource populations. FNEC is committed to providing effective nutrition education programs to the target audience, delivered by staff who are trained in the delivery of high-quality, research and evidence-based curricula. FNEC provides oversight for the Expanded Food and Nutrition Education Program (EFNEP) and training and professional development for Supplemental Nutrition Assistance Program –Education (SNAP-Ed) delivered through Cornell Cooperative Extension associations across New York State.
Under limited supervision and in a team-oriented environment, the Administrative Assistant III will primarily be responsible for coordination of schedules (Calendar coordination), including extensive travel, developing intra-office communication protocols, streamlining administrative procedures, and last-minute task delegation of faculty requests. The Administrative Assistant III will serve as the first point of contact for email inquiries by independently answering correspondence and will provide general administrative, organizational, and technical support to faculty, whose duties including teaching, research, and extension. This position will support travel planning, including coordination of schedules, itinerary and reimbursement support.
The responsibilities of this position include, but are not limited to:
- Coordinate and maintain the director’s calendar, commitments, scheduling meetings and resolving scheduling conflicts to ensure a smooth schedule, timeliness of deliverables, and overall administrative organization
- Arranging all phases of travel for FNEC staff and guest speakers using Concur to prepare both domestic and international travel preparation, coordination, and reimbursements
- Overseeing the organization and support for the FNEC staff by screening, routing, and responding to routine correspondence
- Process orders for office supplies, as needed
- Assist and backup other team members when needed with program delivery support
- Assist with conference and meeting planning
- Assist with the formatting and dissemination of nutrition education materials, curriculum, presentations and training/technical assistance materials
- Help coordinate site visits with Cornell Cooperative Extension Associations
