Position Summary:
EIDS Cleaning & Consulting is seeking a proactive, organized, and detail-oriented Administrative Assistant to support our growing operations team. This part-time hourly role is essential to maintaining internal efficiency, assisting leadership, and supporting compliance-related processes.
The Administrative Assistant will help reinforce our company’s core values—Advocate Safety & Compliance, Empower People, Champion Continuous Improvement, Transform Communities, and Leave a Lasting Impact—by delivering consistent and reliable administrative support.
Key Responsibilities:

- Administrative Operations:
- Coordinate meetings, manage calendars, and send reminders for internal and client-facing appointments.
- Draft, format, and proofread correspondence, reports, checklists, and standard operating procedures.
- Organize both digital and physical files in alignment with compliance and operational standards.
- Monitor and route emails, voicemails, and internal communication requests.
- Office & Systems Support
- Track and reorder office and cleaning supply inventories.
- Support usage of internal systems, including timekeeping, compliance tracking, and workflow tools.
- Assist with documenting and organizing safety audits, inspection logs, and compliance forms.
- HR & Compliance Assistance
- Maintain accurate employee records, including certification tracking (e.g., OSHA, food safety).
- Monitor and track deadlines for trainings, safety briefings, and compliance reviews.
- Assist with recruiting and onboarding activities.
- Communication & Client Support
- Assist with client documentation including proposals, contracts, and correspondence.
- Provide prompt and professional support for client or vendor inquiries via phone or email.
- Uphold a customer service mindset aligned with EIDS’ mission and service standards.
Preferred Qualifications:
- High school diploma or equivalent required; Associate’s degree preferred.
- 1–2 years of administrative or office coordination experience.
- Proficiency in Google Workspace (Docs, Sheets, Drive) and/or Microsoft Office Suite.
- Strong written and verbal communication skills.
- Ability to manage time effectively, self-prioritize, and maintain confidentiality.
- Familiarity with food manufacturing, sanitation, or compliance environments is a plus.
- Relevant certifications in operations management or related fields are a plus.
Performance Matrix:
- Task & Document Accuracy
- Target: = 95% accuracy across routine administrative outputs.
- Measurement: % of completed tasks and documents submitted with minimal or no errors.
- Timeliness & Responsiveness
- Target: 90% of tasks completed by deadline; responses within 24 hours.
- Measurement: Average time to complete tasks and respond to communications
- Compliance & Records Maintenance
- Target: 100% of records updated and filled per compliance standards.
- Measurement: Consistency in updating records and filling compliance documentation.
- Professional Communication & Customer Service
- Target: 100% professional interactions; positive stakeholder feedback.
- Measurement: Tone, clarity, and follow-up in written and verbal communications.
- Initiative & Problem Solving
- Target: Identifies 1-2 improvements or takes initiative each quarter.
- Measurement: Proactivity in identifying and resolving workflow issues.
Compensation & Benefits:
- Part-Time Position; may require occasional evening or weekend work depending on operational needs.
- Hourly Rate: $18-24/hour, based on experience.
