Summary

The Workplace Operations Coordinator is responsible for maintaining the daily readiness of three office buildings, including supply management, facility oversight, and vendor coordination. They also provide reception coverage and administrative support to ensure a welcoming and functional environment for all employees.

Job Description

About the role

Forterra is seeking a highly organized, detail-oriented Workplace Operations Coordinator to join our team in Clarksburg, Maryland. This part-time, on-site role will help ensure that our employees have clean, well-stocked, welcoming, and fully functioning workplaces across three nearby buildings.

You will spend much of your time moving between locations, preparing each building for the workday, monitoring supplies and shared spaces, responding to employee needs, and identifying ways to improve the office experience. You may also provide occasional reception and front-desk coverage, but this role is primarily focused on hands-on workplace operations and employee support.

The ideal candidate is proactive, dependable, service-minded, and comfortable taking ownership of a wide variety of responsibilities. You notice the details others may miss, act quickly to solve problems, and take pride in creating an environment where employees can do their best work.

We're glad to train the right candidate. We care more about how you work than what you've done prior. This is a self-directed role – our perfect candidate will thrive in our organization if they can spot what needs to happen and takes action/ownership of it without waiting for direction from their manager or peers.

This role is a great fit for someone who's energized by real ownership and autonomy from day one, whether you're a student, a parent working around school hours, or returning to the workforce after time away.

This is an on-site role expected to work approximately 25 hours per week, Monday through Friday. The exact schedule will be determined with the selected candidate and may be flexible within the hours of 7:00 a.m. and 5:00 p.m. ET. This role opens the buildings each morning, so consistent, on-time attendance is essential to the job.

What you'll do

Multi-Building Workplace Support

  • Open, check, and prepare each building for the start of the workday.
  • Travel between three nearby buildings throughout the day to keep each one ready for the workday.
  • Monitor kitchens, break areas, conference rooms, restrooms, and other shared spaces.
  • Order, receive, organize, and restock office, kitchen, and employee supplies.
  • Maintain accurate inventory and anticipate supply needs before they become urgent.
  • Identify and report maintenance, safety, security, cleaning, or facility-related issues.
  • Coordinate with vendors, building management, and internal contacts as needed.
  • Support the setup and breakdown of catered meals, company events, meetings, and other workplace activities.
  • Take ownership of the appearance and day-to-day readiness of employee-facing and external-facing areas.

Reception and Administrative Support

  • Provide backup coverage at the primary reception desk as needed.
  • Greet and welcome visitors with a friendly and professional demeanor.
  • Help ensure compliance with company security policies and visitor access controls.
  • Receive, sort, and distribute incoming mail and deliveries.
  • Assist with conference room bookings and other scheduling needs.
  • Provide general clerical and administrative support to departments across the company.
  • Provide backup support to other administrative staff and contribute to the development of shared workplace practices.
  • Manage special projects and perform other duties as assigned

What we're looking for

Ownership Mentality: You take pride in your work and do not wait to be told what to do next. Taking initiative is one of your love languages.

Exceptional Attention to Detail: You notice when something is missing, out of place, or not working and follow through to resolve it. You notice what needs to happen and follow through without a reminder.

Service Orientation: You enjoy helping others and take satisfaction in making employees' workdays easier.

Proactive Problem-Solving: You anticipate needs, act with urgency, and solve problems efficiently.

Dependability: You're consistent and on time every day, because the team is counting on you to open the buildings and keep things running.

Desire to Learn: You are eager to learn about the company and understand how you can best support the team.

Team Player: You work well with others, communicate clearly, and hold yourself accountable. You have no issue assisting other teams/departments if it’s needed. We are one team with the same goal.

What you'll need

  • Proficiency using Microsoft Office Suite.
  • Ability to move between nearby buildings regularly during the workday.
  • Ability to lift and carry up to 25 pounds.
  • Ability to stand, walk, bend, reach, and perform light physical tasks throughout the workday.
  • Reliable transportation or another dependable way to travel between nearby buildings, if needed.
  • Comfortable being evaluated on ownership and follow-through, not just hours worked.

Nice to haves

  • One year of experience in office operations, workplace experience, hospitality, facilities coordination, reception, or a similar role.
  • Experience in a role where you were solely responsible for a task, shift, or space, such as running your own station, closing a store alone, or managing a classroom.
  • Experience managing supplies, vendors, events, or multiple office locations.
  • Associate degree or equivalent experience.
