Job Description:
The Legal Client Intake Representative role is a vital part of the Marketing Department, supporting the Client Intake Manager and ensuring prospective new clients receive a professional, compassionate, and seamless experience. In this position, you will be the first point of contact for individuals seeking legal representation, guiding them through the intake process with empathy and clarity. Your work will directly contribute to building strong client relationships, maintaining accurate records, and supporting the firm’s growth. This role is ideal for someone who thrives in a goal-oriented environment, communicates with confidence and diplomacy, and enjoys helping people navigate important decisions.
• Salary Range: 1150 USD to 1220 USD
Responsibilities include, but are not limited to:

Support the Client Intake Manager with reporting and departmental needs

Conduct initial intake calls with prospective new clients with compassion and empathy

Collect detailed information regarding client matters and legal needs

Maintain accurate records and data related to intake calls and retention metrics

Follow firm guidelines to ensure consistent and effective communication with prospective clients

Communicate best practices for working with the firm and legal team

Track ongoing contact with non-retaining prospective clients using spreadsheets
Requirements:
Timezone: PST
Software/Tools: Microsoft Word, Outlook, Excel, Windows Operating System, Adobe Acrobat, Clio or Datto
2-3 years of experience in client-facing or intake roles preferred
Strong proficiency with Microsoft Office Suite
Familiarity with legal or professional services environments a plus
Strong communication and interpersonal skills
High emotional intelligence and empathy
Confidence and diplomacy in challenging conversations
Ability to transition prospective clients into retained clients
Self-motivated and self-directed in a goal-oriented environment
Detail-oriented with strong organizational skills
Proficiency in Microsoft Office Suite and Windows OS
Familiarity with Adobe Acrobat
Experience with law practice management software (preferred)
Work Shift:
8:30 AM - 5:30 PM [PST][PDT] (United States of America)
