Trust Operations Associate

Description

As a Trust Operations Associate, you will support day-to-day administrative, transactional, and recordkeeping functions within the bank’s trust department.  This role is located at our Muscatine, Iowa office.  

Responsibilities: 

• Responsible for securities processing, posting, proving, and reconciliation of trust receipts and payments.
• Processes client distributions through checks, ach, wires, internal transfers and other means.
• Assist with opening and closing accounts, updating client information, and gathering required legal or tax documents.
• Partner with the Senior Trust Operations Associate on corporate actions, asset re-registrations, and audit or tax preparation tasks.
• Will need to take responsibility of the Operations Group when Senior Trust Operatoins Associate is out of office.
• Scan, image, and index physical and electronic documents into the retention system.
• Coordinate account transfers from and to outside custodians.
• Coordinates the class action distributions.
• Handles the transfers of data files to vendors.
• Settles trades and posts income.
• Assists in preparation of Trust Investment Committee and Trust Committee reports.
• Prepares monthly board reports.
• Assist Trust Administrators on court reports.
• Performs reconciling of accounts.
• Prepares daily transaction and edit reviews.
• Generate client statements and prepare for delivery.
• Assist clients with online account access through the trust client portal.
• Acts as liaison with other departments, such as operations or information systems, with respect to schedules and procedures.
• Ensure appropriate documentation is received/filed.
• Provides for the proper preparation, maintenance, and security of all trust records, files, negotiable instruments, and documents.
• Personally investigates and resolves problematic situations and operational discrepancies.
• Tracks department fees.
• Handles the on going preparation and recording of tax records so they are accurate for clients and their tax preparation needs.

Requirements

• Associates degree from a two (2) year college or university; or two (2) or more years of related experience and/or training; or the equivalent combination of education and experience.  
• Strong computer and typing skills, including proficiency with Microsoft Office applications (Word, Excel, Outlook, etc).
• Proficient math skills; calculate interest, commissions, proportions, and percentages; balance accounts; add, subtract, multiply and divide in all units of measurement; locate routine mathematical errors; compute rate, ratio and percent, including the drafting and interpretation of bar graphs.
• Strong oral, written and interpersonal communication skills with the ability to apply common sense to carry out instructions and instruct others, interpret documents, understand procedures, write reports and correspondence, and speak clearly to customers and employees.
• Ability to deal with complex problems involving multiple facets and variables in non-standardized situations.
• Excellent organizational and time management skills.
• Ability to work with limited supervision while performing duties.
