Team Coordinator (aka Chief Acrobat)

The Opportunity

You'll be the operational backbone of a high-output team — the person who makes everything around them run. As Team Coordinator you'll own a wide surface area: from recruiting and onboarding to special projects that don't have a playbook yet, and whatever else needs doing to keep a fast-moving trading firm firing on all cylinders. This is a Swiss army knife role where the job description is "literally everything" — and you'll use AI-native tools and workflows to move at a pace that would be impossible otherwise. You'll partner directly with senior leaders, create clarity across stakeholders, and serve as the connective tissue between people, projects, and priorities. You'll thrive here if you're a people-person who gets energy from enabling others, a project manager who can hold ten threads at once, and someone with the ambiguity tolerance to take a vague ask and turn it into a done thing.

This is a genuine foot-in-the-door role for someone who wants a breakthrough career in finance and cares about being inside a fast-moving, tech-forward firm. You'll have real visibility, real ownership, and a steep learning curve — the kind of role where a fast learner with 3–5 years of experience can punch well above their weight.

Responsibilities

• Own end-to-end coordination of recruiting efforts on the operations side — sourcing, scheduling, candidate communication, pipeline tracking, and hiring manager support.

• Run day-to-day operations and administration across your team: calendaring, travel, expense coordination, vendor management, and keeping the gears turning on everything that doesn't have someone else's name on it.

• Drive special projects from ambiguous ask to completed deliverable — scoping requirements, building lightweight project plans, coordinating across stakeholders, and closing loops.

• Serve as the primary point of contact and enabler for your team lead, anticipating needs, clearing blockers, and ensuring nothing falls through the cracks.

• Use AI tools daily to accelerate your own output — drafting communications, summarizing research, building templates, automating repetitive workflows, and staying ahead of a high volume of work.

• Create and maintain operational documentation, trackers, and lightweight systems that bring order to a fast-changing environment.

• Coordinate across teams and functions to keep information flowing, deadlines visible, and stakeholders aligned — especially when priorities shift quickly.

• Handle sensitive information with discretion and build trust as a reliable, people-first operator across the organization.

• You are highly organized and adaptive — you can hold many threads simultaneously and reprioritize without losing momentum when the ground shifts.

• You are a fast learner who is genuinely curious about finance, markets, and how trading firms operate, even if you don't come from that world yet.

• You are scrappy and resourceful — you've thrived in environments where the playbook didn't exist and you had to build it yourself.

• You build strong working relationships quickly and communicate with clarity, warmth, and follow-through.

Preferred experience

• 3–5 years of professional experience in operations, project management, chief of staff, or a generalist role at a fast-moving startup or high-output organization (8 years max).

• Demonstrated track record of managing multiple concurrent workstreams across stakeholders without dropping balls.

• Hands-on, daily use of AI tools (ChatGPT, Claude, Copilot, or similar) to accelerate real work — not just experimentation, but integrated into how you operate.

• Experience supporting recruiting processes: sourcing, scheduling, pipeline coordination, or candidate communication.

• Strong written and verbal communication skills with the ability to synthesize ambiguity into clear action items and documentation.

Nice to haves

• Experience in or exposure to financial services, prop trading, or hedge fund environments.

• Background as a founder, early startup employee, or chief of staff where you wore every hat available.

• Comfort with light tooling and automation — building workflows in Notion, Zapier, Make, or similar platforms to eliminate repetitive work.

• Familiarity with recruiting tools and applicant tracking systems (Greenhouse, Lever, Ashby, or similar).
