RESTAURANT RECRUITER & HR/ADMINISTRATIVE COORDINATOR

POSITION SUMMARY

Shawarma Guys is seeking an organized, energetic, and highly dependable Restaurant Recruiter & HR/Administrative Coordinator to support recruiting, onboarding, and day-to-day administrative needs for our growing restaurant group.

This is a 100% on-site position working approximately 20–30 hours per week.

The primary focus of this role will be maintaining a strong pipeline of qualified candidates for our restaurant locations, coordinating interviews, assisting with new-hire onboarding, maintaining accurate employee and candidate records, and providing general administrative support to Human Resources and company leadership.

The ideal candidate is comfortable speaking with candidates throughout the day, highly organized, strong with follow-up, and capable of balancing recruiting responsibilities with administrative tasks.

KEY RESPONSIBILITIES

Recruiting & Talent Acquisition

• Review incoming applications and resumes daily.

• Maintain an active pipeline of candidates for all restaurant locations.

• Recruit for Cashiers, Line Cooks, Prep Cooks, Shift Leads, Managers, Kitchen Leadership, and other restaurant positions.

• Source candidates through job boards, our Applicant Tracking System (ATS), referrals, and other recruiting channels.

• Conduct initial candidate phone screenings.

• Review candidate availability and determine whether it matches restaurant staffing needs.

• Coordinate candidate assessments when required.

• Schedule interviews with restaurant managers and company leadership.

• Confirm interviews and follow up with candidates.

• Track interview attendance, cancellations, and no-shows.

• Collect feedback from hiring managers following interviews.

• Maintain communication with qualified candidates throughout the hiring process.

• Maintain candidate pipelines for positions with frequent hiring needs.

NEW-HIRE ONBOARDING

The Recruiter & HR/Administrative Coordinator will assist HR with moving approved candidates from the recruiting process into employment.

Responsibilities may include:

• Contacting approved candidates regarding next steps.

• Preparing and sending onboarding instructions.

• Assisting new hires with completing required onboarding documentation.

• Following up on incomplete onboarding paperwork.

• Confirming start dates and training schedules.

• Ensuring new-hire information is accurately entered into applicable company systems.

• Coordinating with restaurant management regarding upcoming new hires.

• Maintaining organized new-hire documentation.

• Tracking onboarding progress.

• Helping ensure employees are prepared for their first scheduled training shift.

• Following up with new hires when required documentation or information is missing.

ADMINISTRATIVE SUPPORT

This position will also assist Human Resources and company leadership with general administrative responsibilities.

Duties may include:

• Data entry and record maintenance.

• Organizing digital and physical employee records.

• Updating spreadsheets, trackers, and internal systems.

• Preparing basic reports.

• Scanning, uploading, filing, and organizing documents.

• Assisting with employee documentation.

• Maintaining recruiting and onboarding records.

• Following up with employees or managers regarding missing documentation.

• Preparing forms and administrative materials.

• Assisting with scheduling and coordination.

• Answering basic employee questions and directing more complex HR matters to the appropriate manager.

• Supporting HR with miscellaneous administrative projects as assigned.

ATS & RECRUITING SYSTEM MANAGEMENT

The Recruiter will be responsible for maintaining accurate candidate information within the company's Applicant Tracking System.

Responsibilities include:

• Maintaining accurate candidate stages and statuses.

• Documenting candidate communications.

• Recording interview results and manager feedback.

• Closing candidates who are no longer under consideration.

• Maintaining talent pools for future hiring.

• Monitoring candidates who require follow-up.

• Maintaining accurate recruiting reports.

• Ensuring candidates do not remain unnecessarily stalled within the recruiting process.

STAFFING COORDINATION

The Recruiter will communicate with restaurant management and HR regarding:

• Current staffing shortages.

• Open positions.

• Employee availability needs.

• Upcoming vacancies.

• Priority positions.

• New-hire start dates.

• Training schedules.

• Candidates currently moving through the hiring process.

The Recruiter should understand which locations and positions require immediate attention and prioritize recruiting efforts accordingly.

PERFORMANCE EXPECTATIONS

Performance may be evaluated using metrics including:

• Qualified candidates generated.

• Candidate response time.

• Phone screenings completed.

• Interviews scheduled.

• Interview show rate.

• Offers accepted.

• New hires successfully onboarded.

• Time-to-fill.

• New-hire start rate.

• 30-, 60-, and 90-day retention.

• Accuracy of recruiting and onboarding records.

• Completion of assigned administrative responsibilities.

• Overall staffing pipeline by restaurant.

The objective is not simply to generate applications. The goal is to consistently identify, hire, and successfully onboard employees who can perform within the Shawarma Guys environment.

QUALIFICATIONS

Required

• Strong verbal and written communication skills.

• Excellent organizational and follow-up abilities.

• Strong attention to detail.

• Comfortable speaking with candidates over the phone.

• Comfortable working with computers, spreadsheets, email, and online systems.

• Ability to manage multiple candidates and administrative tasks simultaneously.

• Ability to handle confidential employee and candidate information professionally.

• Dependable attendance and punctuality.

• Ability to work independently while following established procedures.

• Ability to work 100% on-site.

Preferred

• Previous recruiting, HR, administrative, restaurant, hospitality, or staffing experience.

• Experience with high-volume hourly recruiting.

• Experience using an Applicant Tracking System (ATS).

• Experience with Recruitee or similar recruiting software.

• Experience with Indeed or other recruiting platforms.

• Previous onboarding or new-hire administration experience.

• Restaurant or hospitality industry experience.

• Bilingual English/Spanish is highly desirable.

Scheduling will be based on the needs of the Human Resources department and the company's recruiting and onboarding workload.
