The Spa Coordinator serves as the first point of contact for spa guests, managing appointment scheduling, front desk operations, and administrative support to ensure a seamless and relaxing guest experience from booking through checkout.
PART-TIME
Essential Duties & Responsibilities
Greet spa guests warmly and check them in and out for appointments
Schedule, confirm, and manage spa appointments via phone, email, and in person
Answer phone and email inquiries regarding spa services, pricing, and availability
Process payments, gratuities, and retail sales transactions accurately
Coordinate appointment timing with Massage Therapists, Estheticians, and other spa staff
Maintain cleanliness and organization of the spa reception and relaxation areas
Promote spa packages, memberships, and retail products to guests
Maintain accurate guest records and handle confidential health intake forms appropriately
Communicate schedule changes, cancellations, and special requests to spa staff
Assist with inventory tracking and ordering of retail and spa supplies
Qualifications: Qualifications
High school diploma or equivalent required
1-2 years of experience in a spa, salon, or hospitality front desk role preferred
Strong customer service, communication, and multitasking skills
Proficiency with spa scheduling software (e.g., Book4Time, SpaSoft) and Microsoft Office a plus
Professional, calm demeanor suited to a relaxation-focused environment
Ability to work flexible shifts, including mornings, evenings, weekends, and holidays
Physical Demands
Ability to sit or stand for extended periods at the front desk
Occasional lifting of up to 20 lbs (retail stock, supplies)
Manual dexterity for computer, phone, and POS operation
Ability to move throughout the spa to coordinate with staff and guests
