The Opportunity

As our Tradeshow Logistics Coordinator, you'll help power successful events by managing the inventory, preparation, shipping, and organization of tradeshow and marketing materials. You'll ensure booth displays, products, learning aids, and promotional assets are accurately packed, delivered, and ready to make a lasting impression. If you enjoy staying organized, working hands-on, and keeping operations running smoothly, this role offers the opportunity to make a visible impact on every event we attend.

Duration and Schedule

This is a seasonal, part-time position based onsite at our Eau Claire headquarters. We anticipate approximately 15 hours per week, with flexibility to spread those hours across a few days during the workweek. The specific schedule can be coordinated based on business needs and the selected candidate’s availability.

We anticipate this position being seasonal for 6+ months, with the possibility of extension.

Key Responsibilities

• Picks, packs, and prepares products, learning aids, booth materials, marketing collateral, promotional literature, and other materials for tradeshows and events
• Prepares outbound event shipments according to established event schedules, shipping requirements, and instructions
• Receives, unpacks, and organizes returned event materials and products following tradeshows and events
• Maintains organized tradeshow inventory and storage areas, ensuring materials are properly labeled, stored, and readily accessible
• Reviews event requirements, packing lists, spreadsheets, and other documentation to ensure the correct products and materials are prepared for each event
• Inspects event products, equipment, displays, and materials for cleanliness, condition, completeness, and readiness and identifies missing, damaged, or incorrect items
• Maintains accurate inventory records and tracks the location and availability of tradeshow materials according to established processes
• Assists with assembling, organizing, cleaning, and preparing event displays, equipment, and learning aids
• Communicates inventory shortages, shipping concerns, damaged products, missing materials, or other issues to appropriate team members
• Works collaboratively with Marketing and other internal teams to meet event preparation and shipping deadlines

What We’re Looking For

• High school diploma or equivalent
• Basic proficiency with Microsoft 365, including Excel and Outlook
• Strong organizational skills and attention to detail
• Comfortable with hands-on work, including preparing, packing, shipping, receiving, and organizing materials/equipment weighing up to 50 lbs
• Ability to follow packing lists, written instructions, schedules, and established processes accurately
• Good critical-thinking and problem-solving skills
• Ability to work independently

Desired Qualifications

• Previous experience with shipping, receiving, inventory, fulfillment, warehouse operations, event logistics, or similar work is helpful
• Experience using shipping systems or preparing packages for commercial carriers is a plus
