Sales Support Specialist - Waterworks (Remote)

Our client is seeking a detail-oriented, customer-focused Waterworks Sales Support Specialist to support the sales team through order processing, quoting, ERP management, and customer service activities. This role is responsible for processing quotes, sales orders, invoices, credits, and returns while ensuring accuracy, responsiveness, and an exceptional customer experience.

The ideal candidate has experience in Waterworks, Utility Supply, Municipal Infrastructure, Underground Utilities, Construction Materials, or Civil Construction and is comfortable working with project documentation, specifications, and ERP systems in a fast-paced environment.

Key Responsibilities

Sales & Customer Support

• Serve as a primary point of contact for customer inquiries regarding quotes, order status, pricing, shipping information, and product availability.
• Provide administrative support to outside sales representatives and management.
• Follow up on outstanding quotes and customer requests.
• Assist contractors, municipalities, engineers, and utility professionals with product and project-related inquiries.
• Resolve customer issues promptly and professionally.

Order Processing & ERP Administration

• Process customer quotes, sales orders, invoices, credits, returns, and related documentation.
• Maintain customer, product, pricing, inventory, and order information within the ERP system.
• Verify data accuracy and resolve discrepancies.
• Track orders from entry through fulfillment and invoicing.
• Maintain complete and organized documentation and records.
• Generate reports and support data integrity initiatives.

Project & Cross-Functional Coordination

• Review project plans, specifications, utility drawings, and bid documents to ensure accurate product selection and order entry.
• Coordinate with purchasing, warehouse, logistics, accounting, and operations teams to ensure timely order fulfillment.
• Monitor inventory availability and communicate project requirements across departments.
• Support project quotations, material takeoffs, and order management activities.

Qualifications

Required

• High school diploma or equivalent.
• 3+ years of experience in sales support, customer service, order processing, inside sales, or administrative operations.
• Experience with ERP, CRM, or business management software.
• Proficiency in Microsoft Excel and Outlook.
• Strong organizational skills and attention to detail.
• Excellent communication and customer service skills.

Preferred

• Associate's degree or higher.
• Experience in Waterworks, Utility Supply, Municipal Infrastructure, Construction Materials, or Civil Construction.
• Civil Engineering education, coursework, or related industry experience.
• Ability to read construction plans, blueprints, utility drawings, and project specifications.
• Knowledge of pipe, fittings, valves, hydrants, stormwater, drainage, and utility infrastructure products.
• Experience with construction bidding, quotations, and material takeoffs.
