RFP Administrator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a RFP Administrator based in the United States.

This is a remote opportunity focused on coordinating and delivering high-quality RFP, RFI, bid, and security questionnaire responses. You will own the response process from initial intake and qualification through final submission, ensuring every requirement is addressed accurately and on time. The role works closely with Sales, Customer Success, Product, Engineering, Security, Legal, and Marketing teams to gather and translate complex information into compelling proposals. You will help strengthen enterprise sales efforts by clearly communicating product capabilities, differentiators, and value propositions. The position also offers an opportunity to improve proposal processes, content libraries, tools, reporting, and overall response efficiency. Success requires exceptional attention to detail, strong writing and project management skills, and the ability to manage competing deadlines in a fast-paced SaaS or cybersecurity environment. The role is 100% remote from select U.S. locations, with a hybrid option available for candidates in the Chicago metropolitan area.

Accountabilities:

• Own the end-to-end RFP and RFI response process, from intake and qualification through coordination, development, review, and final submission.
• Review RFP, bid, and questionnaire requirements and coordinate fulfillment of all requested elements to ensure complete, compliant, and responsive submissions.
• Manage response timelines, coordinate contributors across functions, track deliverables, and ensure high-quality proposals are submitted on schedule.
• Draft, edit, proofread, and tailor persuasive responses that clearly communicate product capabilities, differentiators, customer value, and strategic positioning.
• Maintain and continuously improve a centralized RFP content library, including reusable boilerplate, approved responses, and other proposal resources.
• Partner with Sales and Account teams to align proposals with customer requirements, strategic opportunities, and deal objectives.
• Collaborate with Product, Engineering, Security, Legal, Marketing, and Customer Success teams to gather accurate technical, business, security, and contractual information.
• Manage customer security questionnaires and due diligence requests, coordinating appropriate internal subject-matter experts to provide accurate responses.
• Ensure proposals meet applicable formatting, legal, regulatory, and customer-specific requirements.
• Identify opportunities to improve response efficiency, quality, consistency, and win rates through process optimization and better use of proposal management tools.
• Track and report on RFP performance metrics, including submission volume, turnaround times, and win/loss insights.
• Support strategic enterprise opportunities by developing customized executive summaries, value narratives, and other high-impact proposal content.
• Contribute to the ongoing improvement of proposal management processes, workflows, systems, and supporting tools.

Requirements

• At least 3 years of experience in proposal writing, RFP management, bid coordination, or a related role, preferably within SaaS or cybersecurity.
• Strong writing, editing, and proofreading abilities with exceptional attention to detail.
• Demonstrated experience responding to enterprise-level RFPs and security questionnaires.
• Ability to translate complex technical concepts into clear, concise, and business-friendly language.
• Proven ability to independently manage multiple deadlines and priorities in a fast-paced environment.
• Strong project management, coordination, organizational, and time-management skills.
• Experience collaborating cross-functionally with Sales, Product, Legal, Security, and other stakeholder groups.
• Proficiency with Salesforce and/or proposal management platforms is preferred.
• Familiarity with cybersecurity, identity and access management (IAM), privileged access management (PAM), SaaS, or enterprise software is strongly preferred.
• Undergraduate degree preferred, particularly a BA/BS in Communications, English, Business, or a related field.
• Experience with state and/or federal RFP processes is highly beneficial.
• Strong interpersonal and communication skills, with the ability to coordinate contributors and build effective relationships across teams.
• Ability to work independently while remaining highly organized, process-oriented, and accountable for deadlines and deliverables.
