Job Description

Remote Customer Experience Specialist | Entry Level

100% Remote | Work From Home | Entry Level | Warm Applicant Leads | Flexible Schedule | Training Provided

📞 Turn Conversations Into Booked Appointments — From Home

Are you friendly on the phone, organized, dependable, and good at keeping conversations moving?

We’re looking for motivated individuals to join our expanding virtual recruiting team as Remote Phone Bookers / Appointment Schedulers.

You’ll connect with prospective candidates who have already applied or expressed interest in learning about one of our career opportunities, confirm their interest, schedule their next step, and follow up when needed.

Your role is straightforward but extremely important:

Connect → Confirm Interest → Book the Appointment → Follow Up → Help Candidates Show Up

You won’t be expected to conduct full interviews or explain every detail of the opportunity. Your primary responsibility is helping interested applicants successfully move through the scheduling process.

No previous recruiting or appointment-setting experience is required. Training and ongoing coaching are provided.

✓ 100% Remote / Work From Home
✓ Entry Level Welcome
✓ Warm Applicant Leads Provided
✓ No Random Cold Calling
✓ Flexible Scheduling Opportunities
✓ Training & Ongoing Coaching
✓ Recruiting Experience
✓ Performance-Focused Environment
✓ Career Growth Opportunities

🎯 Your Main Goal: Get Interested Candidates Scheduled

As a Remote Phone Booker / Appointment Scheduler, you’ll help keep our recruiting pipeline active and organized.

Your responsibilities may include:

  • Make outbound calls to candidates who have already applied or expressed interest

  • Introduce yourself in a friendly and professional manner

  • Confirm the applicant is still interested in learning more

  • Explain basic scheduling and interview-process information

  • Help candidates select available appointment times

  • Schedule career overviews and interviews

  • Confirm upcoming appointments

  • Send reminders when appropriate

  • Follow up with applicants who haven’t completed the next step

  • Reconnect with candidates who missed an appointment

  • Assist with rescheduling

  • Communicate through phone, email, and text when appropriate

  • Maintain accurate notes from candidate conversations

  • Record call outcomes

  • Update applicant statuses

  • Maintain organized follow-up lists

  • Keep recruiting calendars current

  • Collaborate with recruiters and hiring managers

Your success helps turn applicant interest into completed interviews.

🔥 Warm Applicant Leads — No Random Cold Calling

You won’t spend your day calling random phone numbers trying to convince strangers to apply.

You’ll primarily connect with people who have already:

  • Submitted an application

  • Responded to a job advertisement

  • Expressed interest in a career opportunity

  • Started the recruiting process

  • Scheduled previously but need to reschedule

  • Requested additional information

  • Completed an earlier step and need assistance moving forward

That gives every conversation a clear reason from the beginning.

These are warm candidate follow-ups—not random consumer cold calls.

📲 What a Typical Call Looks Like

A typical conversation might be simple:

You contact an applicant who recently expressed interest, introduce yourself, confirm they’re still interested, and help them select an available time for the next step.

You may also:

  • Confirm the date and time of an appointment

  • Explain how the virtual appointment works

  • Help the candidate locate scheduling information

  • Answer basic process questions

  • Help them reschedule if their original time no longer works

  • Direct detailed job-specific questions to a recruiter or hiring manager

You’re there to guide the scheduling process—not conduct the full interview.

📅 Keep the Recruiting Calendar Moving

Strong appointment setters do more than simply book a time.

They help make sure candidates actually understand what comes next.

You’ll help maintain an organized pipeline by tracking:

  • New applicants

  • Candidates needing outreach

  • Scheduled appointments

  • Confirmed appointments

  • Missed appointments

  • Rescheduled candidates

  • Candidates requiring follow-up

  • Completed recruiting steps

Your follow-up can help reduce missed interviews and improve the overall candidate experience.

☎️ Comfortable Making Outbound Calls?

This role involves regular outbound phone activity.

Depending on recruiting volume, you should be comfortable:

  • Making frequent calls throughout your work period

  • Speaking with many different people

  • Moving efficiently between conversations

  • Leaving professional voicemails

  • Following up repeatedly when appropriate

  • Handling unanswered calls

  • Hearing “not interested” and moving on professionally

  • Maintaining a positive tone throughout the day

  • Working toward daily activity and appointment goals

You don’t need to be aggressive—you do need to be consistent.

🌟 The Best Phone Bookers Sound Natural

You don’t need a polished sales background.

We’re looking for people who communicate in a way that feels:

  • Friendly

  • Confident

  • Helpful

  • Professional

  • Positive

  • Clear

  • Organized

  • Genuine

Strong communication and follow-through matter more than sounding like a salesperson.

📊 A Results-Oriented Remote Role

This is a performance-focused recruiting support position.

Depending on team needs, success may be measured through areas such as:

  • Outbound call activity

  • Candidate contacts

  • Completed conversations

  • Appointments scheduled

  • Appointment confirmations

  • Reschedules

  • Candidate follow-up

  • Appointment attendance

  • Accuracy of candidate notes

  • Reliability and consistency

The more effectively you connect and follow up, the more candidates move forward.

🏠 100% Remote / Work From Home

This position is performed remotely.

You’ll communicate with candidates and collaborate with the recruiting team through virtual systems.

Technology may include:

  • Online scheduling platforms

  • Calendly

  • Zoom

  • Phone

  • Text communication

  • Email

  • Online calendars

  • Recruiting platforms

  • Applicant tracking systems

  • Candidate-management tools

Training is provided on applicable systems and processes.

💻 What You’ll Need at Home

Applicants should have:

  • Reliable computer or laptop

  • Reliable high-speed internet

  • Dependable phone connection

  • Working microphone or headset

  • Webcam capability when required

  • Quiet workspace for professional calls

  • Basic computer skills

  • Ability to navigate multiple online systems

Your workspace should allow you to communicate clearly without excessive background noise or interruptions.

⏰ Flexible Scheduling With Consistency

Remote work offers flexibility, but effective candidate outreach still requires consistent activity.

You’ll need to manage your schedule around times when candidates can reasonably be reached.

This role may be an excellent fit if you enjoy:

Independent Work + Clear Goals + Phone Communication + Flexible Scheduling + Measurable Results

Successful Phone Bookers balance flexibility with:

  • Consistency

  • Organization

  • Follow-through

  • Accountability

  • Time management

  • Dependability

📚 No Experience? We’ll Train You.

Previous experience in recruiting, appointment setting, or call centers can be helpful—but it is not required.

Training may include:

  • Phone scripts and conversation flow

  • Candidate outreach techniques

  • Appointment-setting strategies

  • Professional phone communication

  • Scheduling procedures

  • Calendar management

  • Candidate confirmations

  • Reminder processes

  • Missed-appointment follow-up

  • Rescheduling procedures

  • Candidate documentation

  • Recruiting-system navigation

  • Call tracking

  • Follow-up organization

  • Time-management strategies

  • Productivity techniques

  • Handling common candidate questions

We provide the process and coaching. You bring the communication skills, reliability, and willingness to learn.

💼 Experience That Transfers Well

Previous experience in these areas may transfer especially well:

Appointment Setting • Customer Service • Recruiting • Call Centers • Reception • Administrative Support • Scheduling • Lead Follow-Up • Inside Sales • Client Services • Staffing • Talent Acquisition • Hospitality • Retail • Front Desk • Office Administration

No previous recruiting experience is required.

Strong communication, organization, dependability, professionalism, and follow-through can be more important than having a specific previous job title.

🌎 Who We’re Looking For

You may be a strong fit if you’re:

  • Friendly and confident on the phone

  • Comfortable initiating conversations

  • A strong verbal communicator

  • Professional and courteous

  • Organized

  • Detail-oriented

  • Comfortable with frequent outbound calling

  • Persistent without being pushy

  • Consistent with follow-up

  • Self-motivated

  • Dependable

  • Personally accountable

  • Comfortable working independently

  • Able to manage multiple candidate follow-ups

  • Comfortable working toward activity goals

  • Quick to learn technology

  • Accurate with notes and documentation

  • Positive when dealing with unanswered calls

  • Coachable and receptive to feedback

🔄 Career Changers & Returning Professionals Welcome

This opportunity may also be a strong fit for individuals who are:

  • Returning to the workforce

  • Transitioning out of retail

  • Moving from hospitality into remote work

  • Looking to gain recruiting experience

  • Interested in talent acquisition

  • Experienced in customer service

  • Comfortable with phone-based work

  • Looking for an entry-level remote opportunity

  • Interested in developing professional communication skills

Your previous experience may transfer better than you think.

📈 Opportunity to Grow

For strong performers interested in expanding their responsibilities, this role may provide experience that can lead toward additional recruiting functions.

A potential development path may include:

Phone Booker → Candidate Coordinator → Recruiting Support → Recruiter → Interview Coordination → Training → Team Leadership

As responsibilities expand, development opportunities may include:

  • Candidate pipeline management

  • Recruiting systems

  • Interview coordination

  • Applicant communication

  • Recruiting operations

  • Candidate screening support

  • New-booker training

  • Team support

  • Recruiting performance tracking

  • Leadership

Growth opportunities depend on performance, reliability, consistency, professional development, business needs, and available positions.

  • Forget to schedule

  • Miss an email

  • Don’t understand what happens next
