Recruiting Operations Coordinator (Contract)

Position Summary

Antora is seeking a Recruiting Operations Coordinator to join our People Operations team on a contract basis during a period of active process improvement. This role is the operational backbone of our hiring: coordinating complex onsite and virtual interviews, configuring and evolving our Greenhouse ATS (including new AI and MCP integrations), and partnering with People Operations to deliver seamless onboarding and offboarding. Beyond day-to-day coordination, this person will help modernize how recruiting runs at Antora — consolidating our recruitment documentation into an indexed, easy-to-navigate library, keeping interview training compliance on track, and identifying and implementing process improvements across recruiting coordination. The ideal candidate is exceptionally responsive, tenacious in solving hard problems, precise under pressure, and communicates clearly whether over email, Slack, or in person.

Roles & Responsibilities

• Interview Coordination & Stakeholder Experience

  • Accurately schedule and coordinate onsite and virtual interviews, managing complexity from tight deadlines and challenging interviewer and candidate availability
  • Serve as a primary point of contact for candidates, interviewers, and hiring managers, delivering excellent responsiveness and follow-through at every step
  • Continuously improve the scheduling workflow to increase speed, reliability, and quality of experience

  Greenhouse Administration & Configuration

  • Configure, test, and deploy changes to Greenhouse to support evolving recruiting processes
  • Implement and maintain technology integrations, including AI and MCP-based tools, in partnership with recruiters and People Ops
  • Maintain data integrity, permissions, templates, and automations within the ATS

  Process Improvement & Documentation

  • Identify and implement process improvements across recruiting coordination
  • Consolidate recruitment documentation into an indexed library that is accessible and easy to navigate
  • Maintain organized, accurate, and auditable candidate and recruiting records

  Onboarding & Offboarding

  • Partner with the People Operations team to improve and execute onboarding processes for a seamless new hire experience
  • Support offboarding processes, ensuring tasks are completed accurately and on schedule

  Interview Training & Compliance

  • Coordinate, track, and monitor interview training compliance across the hiring team
  • Partner with recruiters to keep interviewers current and consistent in their evaluation practices

Key Qualifications

• 3+ years of recruitment coordination and/or recruitment operations experience
• Proven ability to administer and configure Greenhouse ATS (required), including building, testing, and deploying workflow changes
• Proven ability to manage high-volume, complex interview scheduling with accuracy under tight timelines
• Track record of exceptional responsiveness and follow-through with candidates and internal stakeholders
• Demonstrated ability to identify process gaps and implement improvements
• Strong written and verbal communication skills across email, Slack, and in-person settings
• Tenacious, resourceful problem-solver who collaborates well to solve complex challenges
• High degree of discretion and respect for confidentiality

Additional Qualifications Desired

• Experience integrating Greenhouse with other systems, or working with AI tools, MCP connectors, or automation platforms in an HR or recruiting context
• Experience building or maintaining a documentation library, knowledge base, or shared process repository
• Prior involvement in a recruiting process refresh, ATS migration, or systems cleanup
• Experience coordinating onboarding/offboarding in an HRIS or onboarding platform
• Experience tracking training or certification compliance programs
• Background in a fast-growing hardware, manufacturing, or climate/energy company

Work Location:  Onsite - San Jose, CA

Salary Range:  $40/hr - $48/hr

Salary Basis:  Hourly

The actual salary offered will be within the posted range and determined based on several factors including but not limited to a candidate's experiences, credentials and expertise, as they pertain to the position's requirements.
