Job Description
Job Details: Job Location: UCP - West - Rocky River, OH, Salary Range: Undisclosed, BASIC FUNCTION:
Greets and directs clients and visitors, either in person or on the phone. Responsible for telephone communication system - training new employees in its use and programming for application changes. Types material of varying difficulty.
RESPONSIBILITIES:
1. Operates central answering position for telephone system.
2. Greets and directs clients and other visitors of UCP West. Maintains all guest check-in procedures including sign in/sign out log; visitor badges; and/or visitor safety protocol procedures and documentation. Notifies therapists of client arrival.
3. Optimizes therapist schedules and client appointment requests. Calls clients to reschedule missed appointments.
4. Collects payments from clients and accurately enters them into their record.
5. Serves as day-to-day administrator of building locked-door system. Works closely with other system users to ensure security, compliance and clear communication.
6. Screens calls and takes messages as requested by callers or staff. Uses best judgment to determine which calls should be forwarded and to whom. Efficiently utilizes paging system when appropriate.
7. Performs administrative tasks upon assignment including but not limited to scheduling conference rooms, maintaining front desk policy manual, and maintaining the lobby tv monitor information slides.
8. Maintains lobby in a neat and orderly manner.
9. Provides general information to visitors. Sends information on United Cerebral Palsy to interested persons upon request. Enters and updates client records.
10. Distributes and checks completed paper employment applications and forwards to the Human Resources Director. Provides direction to potential applicants regarding online application process.
11. Uses office equipment such as computers, fax machine, or copiers.
12. Opens and sorts incoming mail and prepares daily cash log.
13. Demonstrates the ability to show patience and courtesy when working with people.
14. Types of various correspondences using Microsoft Word.
15. Tracks daily client attendance on client recap sheets.
16. Possesses a valid Ohio driver’s license with no more than two (2) moving violations and has reliable daily transportation.
Qualifications: QUALIFICATIONS:
Combination of education and experience normally represented by High School graduation and has knowledge of telephone systems or the ability to be trained. Knowledge of MS Word preferred.
