Proposal Manager

Job Summary:  

Jones Sign is looking for a detail-oriented, organized Proposal Manager to help lead proposal efforts that support sales growth and create strong customer experience. This role is a great fit for someone who enjoys working with cross-functional teams, managing deadlines, bringing structure to complex information, and producing accurate, polished proposal materials. The Proposal Manager will coordinate RFP responses, proposal documents, internal inputs, quality checks, and handoff details while helping improve the tools, templates, and processes that support a growing Sales Support function.

Duties and Expectations:

• Coordinate the proposal process from intake/RFP review through submission, award transition, and handoff to Project Management.
• Manage proposal timelines, milestones, priorities, dependencies, and competing deadlines across multiple active opportunities.
• Work closely with Sales, Estimating, Project Management, Design, Marketing, Legal/Contract Administration, and other teams to gather inputs, clarify requirements, and keep proposal activity moving forward.
• Review approvals to sell, RFPs, bid documents, customer requirements, scope information, and pricing inputs to confirm proposals are complete, accurate, compliant, and ready to advance.
• Identify missing information, unclear requirements, compliance concerns, scope risks, schedule conflicts, and process gaps; recommend next steps and help drive resolution.
• Prepare, organize, and quality-control proposal templates, bid forms, qualification packages, project profiles, customer-facing documents, and final handoff materials.
• Maintain proposal documentation standards, including file management, naming, tagging, reusable content, and knowledge sharing.
• Communicate proactively and professionally with internal stakeholders regarding status updates, deadlines, risks, changes, escalations, and recommended solutions.
• Support team consistency by sharing best practices, reinforcing proposal standards, and assisting with training or cross-training as needed.
• Contribute to continuous improvement efforts that increase proposal accuracy, efficiency, consistency, and customer experience.
• Use and help improve tools, systems, templates, and process resources that support productivity and proposal quality.
• Represent Sales Support with reliability, professionalism, and high-quality work that builds trust with internal partners.
• Take ownership of assigned work, follow through on commitments, escalate barriers appropriately, and meet expectations for on-time, accurate, and complete deliverables.

Education, Experience, and Skills: 

• Bachelor’s degree in business, communications, marketing, project management, or a related field preferred; equivalent proposal, sales support, project coordination, or operations experience may be considered.
• Experience supporting or managing proposals, RFP responses, pre-qualification packages, bid documents, project documentation, or other deadline-driven deliverables.
• Strong organizational skills with the ability to balance multiple priorities, deadlines, stakeholders, and changing requirements.
• Excellent attention to detail, including the ability to review documents for accuracy, completeness, formatting, grammar, compliance, and handoff readiness.
• Strong written and verbal communication skills, with the ability to clarify requirements, provide updates, document decisions, and communicate risks or recommendations professionally.
• Process-minded and solution-oriented, with the ability to identify gaps, solve problems, support standards, and contribute to workflow improvements.
• Comfortable sharing best practices, supporting team consistency, and helping others follow proposal processes, documentation standards, tools, and templates.
• Proficiency with Microsoft Office and business systems used to prepare, organize, track, and maintain proposal information; experience with Salesforce, Proposify, SharePoint, TaskRay, Briq, or similar platforms preferred.
• Sound judgment, initiative, accountability, discretion, and flexibility in a fast-paced, deadline-driven environment.
