PROGRAM SUMMARY:
Aging Strong is a program of Jannus, Inc. dedicated to Changing the Lives of Older Adults Through Service and Connection. Our mission is to combat isolation, give hope, and provide older adults with purpose, while empowering all to lead healthier, more fulfilling lives.
Through our volunteer-powered programs, Aging Strong serves older adults, family caregivers, veterans, children, and communities. We create meaningful opportunities for older adults to serve others through volunteerism, including mentoring children, supporting fellow older adults and family caregivers, and using their experience, skills, and compassion to make a difference in their communities.
POSITION SUMMARY:
The Program Services & Education Coordinator is a fully competent and productive professional who supports Aging Strong program services, volunteer coordination, caregiver and healthcare education, outreach, and assigned projects. The coordinator applies acquired human-services knowledge, established standards of practice, and program requirements to complete assignments and projects.
Working independently in close coordination with Aging Strong Team Leads. The Coordinator exercises professional judgment within defined guidelines. Because Aging Strong programs and funding sources frequently overlap, this position works together with Team Leads to coordinate services, volunteer activities, documentation, education, outreach, data collection, and grant-supported activities.
The coordinator provides guidance and assistance to volunteers, interns, entry-level professionals, and support employees in carrying out established program processes.

PRIMARY DUTIES AND RESPONSIBILITIES:
Program Services, Operations, and Administration
• Independently coordinate assigned day-to-day program services, activities, meetings, and projects.
• Apply acquired program and human-services knowledge to complete assignments, identify service needs, organize work, and determine appropriate next steps within defined guidelines.
• Work together with Aging Strong Team Leads to coordinate participant services, volunteer activities, education, outreach, documentation, and shared grant-supported work across program areas.
• Maintain confidential, accurate, complete, and timely volunteer and participant records, including demographic information, eligibility documentation, background-check information, surveys, time records, attendance, and ongoing service documentation as assigned.
• Track education, outreach, referrals, resources, service outputs, volunteer activities, and other program data needed for internal monitoring, grant reporting, and program evaluation.
• Review assigned records and data for completeness and accuracy; resolve routine discrepancies independently and elevate unusual concerns to the appropriate Team Lead or Program Director.
• Assist Team Leads with screening and assessing volunteers and participants using established eligibility criteria, procedures, and documentation requirements.
• Support assigned projects and process improvements by organizing information, coordinating logistics, monitoring progress, and completing follow-up within established timelines.
Community Outreach, Education, and Relationship Support
• Execute established outreach and education plans designed to reach potential volunteers, family caregivers, healthcare professionals, older adults, and community partners.
• Represent Aging Strong at community events, presentations, resource fairs, meetings, and other public gatherings, independently communicating approved program information and resources.
• Build and maintain productive working relationships with healthcare professionals, community organizations, volunteers, and referral partners within established program goals and practices.
• Provide caregiver, healthcare professional, and community education using approved core curriculum, presentations, resources, and program materials; adapt delivery to audience needs while remaining within established content and program guidelines.
• Identify community questions, service gaps, partnership opportunities, and recurring concerns and communicate relevant information to Team Leads and the Program Director.
• Support program awareness and recognition activities, including social media and other communications, in coordination with the Aging Strong team and established organizational practices.
Volunteer and Training Support
• Support volunteer recruitment, screening, onboarding, training, placement coordination, recognition, and retention activities under the direction of the responsible Team Lead.
• Facilitate or co-facilitate established volunteer training and continuing education and provide volunteers with routine guidance regarding program procedures, documentation, scheduling, and service expectations.
• Provide guidance and assistance to volunteers, interns, entry-level professionals, and support employees on established processes, assigned tasks, and program practices when requested.
• Recognize routine volunteer or participant concerns, use judgment to address issues within established guidelines, and promptly refer complex service concerns to the responsible Team Lead or Program Director.
• Source and share relevant approved resources and tools for family caregivers, healthcare professionals, volunteers, participants, and community partners.
Professional Judgment, Collaboration, and Compliance
• Exercise judgment within defined policies, procedures, grant guidelines, operation handbooks and standards of practice to determine appropriate action on routine and moderately complex assignments.
• Manage assigned workload and priorities independently with general supervision, meeting deadlines and communicating barriers, risks, or changing needs in a timely manner.
• Collaborate across Aging Strong programs when participants, volunteers, services, education activities, or grant-supported work overlap, helping ensure coordinated and consistent service delivery.
• Follow confidentiality, documentation, safety, background-check, data-quality, and other compliance requirements applicable to assigned duties.
• Complete mandated training required by Jannus, Aging Strong, funders, and program partners.
Other Responsibilities
• Understand and support the overall mission, goals, objectives, and integrated service model of Aging Strong.
• Drive own vehicle to outreach, education, program, volunteer, and community activities as required.
• May attend an out-of-town conference, training, or program activity as assigned.
• Perform other duties and substantive assignments of similar scope and complexity as assigned.
Regular and predictable attendance is an essential function of this position.
ESSENTIAL REQUIREMENTS:

- Understanding and commitment to multi-generational learning.
- Minimum of 1 year of direct human-service work with other adults.
- Must possess a valid driver’s license and be able to provide proof of State required minimum liability coverage and access to a reliable vehicle.

- Experience and confidence with Microsoft Office software.
- Able to pass a criminal history background check.
EXPERIENCE AND EDUCATION REQUIREMENTS:
Required:
1 year of human-service work experience
Preferred:
Bachelor’s degree in a related field preferred.
CERTIFICATES, LICENSES, AND REGISTRATIONS:
- Current drivers license and active vehicle insurance is required.
WORKING CONDITIONS:
- Works in a general office environment with regular travel to client homes, volunteer stations and other outside facilities where meetings and outreach will be completed.
PHYSICAL REQUIREMENTS:
- Must be able to tolerate heat and cold, and to drive to venues in varied weather conditions.
- Sitting, standing, walking, driving, replated hand and wrist motions (for computer use) are required.
- May be required to lift up to 25 lbs.
