Private Party Outreach Assistant

4 Entertainment Group (4EG) is seeking a dynamic Private Party Outreach Assistant who is motivated, outgoing, hospitable, sales-driven, detail-oriented, and extremely organized. The abilities to prioritize, multitask, and problem solve are a must. This is a part-time hourly position of approximately 20 hours per week. Must have availability during business hours (preferably afternoons) and on evenings and weekends to be able to attend events.

Position Overview: 

As 4EG’s Private Party Outreach Assistant you will be responsible for driving sales through outreach to potential and current clients in order to book private parties throughout 4EG’s party spaces and bars. You will collaborate with our Operations and Sales/Marketing teams to identify opportunities and develop sales strategies to ensure available private party spaces are booked. 

Sales Strategy: 

• Generate new leads for private party business through strategic outreach to businesses, associations, social groups, party planners, etc., using sales tools, including:
  • Phone calls, emails, incentive campaigns, event leads, social media and other outreach lead generation tactics
• Assist and attend off-site events including but not limited to networking opportunities, wedding shows, and community events
• Secure repeat party business through a variety of sales techniques, including:  
  • Phone calls, emails, client incentive campaigns and other outreach

Event and Client Management: 

• Generate new leads through  
• Provide site tours for potential private party hosts
  • Use of personal vehicle as required  
• Follow up with the client after the event has concluded to gather feedback, confirm satisfaction, and encourage repeat business

Marketing Strategy:  

• Work collaboratively with the in-house sales and marketing team to brainstorm ideas and generate new marketing and event ideas
• Demonstrate a working knowledge of lead generation tactics across multiple channels, including:
  • Direct mail 
  • Email marketing 
  • Social media (paid and organic)  
  • Paid search / PPC 
  • Conferences and event networking 
  • Brand partnerships 
  • Content marketing  

Reporting:  

• Generate weekly, monthly and annual lead summaries  
• Attend regular meetings with Private Party Sales Team and reports any client feedback, notable insights, and upcoming campaigns

Other duties and projects as assigned. 

What You’ll Need to Be Successful:   

• 1-2 years of outside sales, event planning, marketing, or sales internship experience preferred
• Detailed knowledge of sales techniques and strategies (negotiation, closing, etc.)  
• 1-2 years of hospitality experience
• Must be comfortable cold calling, and using other outreach methods to build relationships and generate viable private party leads 
• Strong ability to initiate and maintain positive communication with clients across a broad range of industries 
• Must have a positive attitude and ability to stay motivated 
• Must have self-discipline with ability to work autonomously and make independent, educated decisions 
• Excellent planning and organizational skills 
• Ability to prioritize and multi-task 
• Excellent problem-solving skills 
• Thorough knowledge of Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Microsoft Teams, or equivalent programs  
• Ability to work autonomously and make independent, educated decisions 
• Exemplary communication skills (verbal and written) with guests and internal teams 
• Ability to pay attention to details and manage time effectively  
• Capable of protecting and maintaining sensitive and confidential information  
• Exudes sincere hospitality and professionalism  
• Familiarity with 4EG establishments is a plus
• Ability to drive (must have your own vehicle)
• Ability to stand or sit for extended periods of time 
• Ability to talk on the phone for an extended period of time  
• Ability to sit at computer and type for extended period of time 
• Ability to read, count, and write to accurately complete all documentation 
• Must be willing and able to work some nights, weekends, and certain holidays as business dictates 

Work Environment 

• This job operates in a variety of environments, both indoors and outdoors, including bars, other businesses, conference centers and other venues
• This job also operates in a casual office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, fax machines and filing cabinets
