Perioperative Operations Coordinator

Overview

We are seeking a Perioperative Operations Coordinator to join our team at UnityPoint Health! The System Perioperative Operations Coordinator safeguards the accuracy and integrity of surgical supply and implant charges across all UnityPoint Health perioperative sites. Working at the intersection of Epic (OpTime/Cupid), the supply chain ERP system, and perioperative clinical operations, the role identifies and corrects charge, supply-record, and implant-documentation errors before they affect revenue, the patient record, or compliance. The role recognizes when a supply or implant record change alters the clinical meaning of a documented device, traces the downstream impact through Epic usage and charge records, coordinates corrections with site informatics teams system-wide, and recovers missed and over-stated charges through structured daily, weekly, monthly, and quarterly audits. This is a data- and systems-driven charge-integrity function requiring deep Epic fluency and perioperative product knowledge, distinct from Epic application build and configuration. The position reports to the System Director, Perioperative Operations, and serves as a system-level bridge connecting supply-chain and charge activity to perioperative operational and financial performance.

Hours: Monday-Friday, standard business hours 

Location: Remote - applicants preferably reside within the UnityPoint Health footprint of Iowa, Illinois, or Wisconsin

Responsibilities

Documentation Accuracy, Charge Integrity, & Revenue Integrity:

• Conducts routine audits (daily, weekly, monthly, and quarterly) of surgical supply and implant charges across all perioperative sites to ensure accuracy and compliance
• Reviews cost-change and item master updates, validates changes against the electronic health record and supply chain ERP source data, and determines whether discrepancies reflect valid updates or system errors
• Analyzes and reconciles usage reports, including historical data back to item creation, to assess downstream charge impact
• Reviews implant description and classification changes to evaluate whether clinical meaning or billing implications have been altered. Identifies and corrects inaccurate records by updating the surgical log and issuing operative note addenda, ensuring required surgeon co-signatures are obtained
• Collaborates with site informatics teams to coordinate and track corrections, ensuring alignment between the patient record, surgical documentation, and associated charges
• Performs monthly audits of special-units billing for HCPCS-coded items requiring unit-based charges (e.g., cm2, mL, mg), with a focus on high-cost implants such as skin substitutes
• Interprets manufacturer specifications to determine accurate billable units, identifies under- and over-charging, documents audit findings, and tracks site-level confirmation and resolution of corrections
• Audits newly created supply records to ensure accuracy of charge codes, HCPCS assignment, and pricing prior to activation

Operational Support: 

• Serves as the system-wide point of contact for supply and implant charge inquiries, denials, and correction requests
• Submits, monitors, and follows through on supply maintenance requests (e.g., WebTMA) to ensure timely and accurate resolution
• Supports the System Director of Perioperative Operations by analyzing and linking supply, charge, and clinical documentation data to operational and financial performance
• Represents perioperative clinical and operational requirements in enterprise system implementations and upgrades affecting supply, charge, and documentation workflows
• Contributes to system-wide perioperative operations, charge integrity initiatives, and analytical efforts as assigned
• May provide support to adjacent procedural areas (e.g., cath lab, imaging) and participate in related initiatives such as preference card accuracy and optimization, adapting to evolving system needs and priorities

Issue Resolution: 

• Collaborates with Charge Master, Revenue Cycle, Supply Chain, and site Informatics teams to resolve issues
• Advocates for and acts as an agent of change within the organization and identifies opportunities for improvement
• Provides effective and timely communication of issue status to key stakeholders

Qualifications

Education:

• Required: Associate's Degree in a healthcare, health information, informatics, business, or related field. An Associate's Degree in Nursing (ADN) or nursing diploma from an accredited school of nursing is also accepted. An equivalent combination of education and directly related experience will be considered.
• Preferred: Bachelor's Degree in Nursing, healthcare informatics, health information management, or a related field.

Experience:

• Required: 4 years of Epic experience, including OpTime, Cupid, or related perioperative and charge modules. Must be able to navigate supply and implant records, build and run reports (e.g., Reporting Workbench, SLR implant usage reports), correct surgical logs, and issue operative note addenda at the data and charge level. This is a data- and charge-level requirement, not application build or configuration.
• Required: Demonstrated working knowledge of the perioperative environment, including surgical supplies, implants, instrumentation, and operative documentation. Sufficient to recognize when a change to an implant record alters the clinical meaning of the device documented. This knowledge may be acquired through direct operating room clinical experience or through sustained support of perioperative clinical and supply systems.
• Required: Experience with supply chain ERP systems and their interface to the electronic health record, including how supply records, charge codes, and item master changes propagate to charge capture and clinical documentation.
• Preferred: Experience with charge integrity, revenue integrity, charge capture, or charge master functions.
• Preferred: Demonstrated experience auditing or reconciling clinical, supply, or charge data across multiple facilities.

Licenses/Certifications: 

• Required: Certified in Dependent Adult Abuse and Child Abuse Mandatory Reporter (within 90 days of hire)
• Preferred: CNOR Certification
