Job Title: Patient Care Coordinator

Status: This is a part-time, temporary role (anticipated November - January)

Classification: Non-Exempt - Hourly

Location: This is an in-office position primarily based at our Vail location. Some remote work may be available.

Schedule: Flexible - 2 days a week

Pay Range: The entry range for this position is $25.00-$30.00/hr and is dependent on relevant experience.

Position Overview:

The Patient Care Coordinator serves as a central point of contact in the patient care journey, coordinating both clinical and surgical aspects of the patient experience. This role is responsible for managing patient scheduling, facilitating pre-operative and post-operative care coordination, maintaining physician schedules, and ensuring patients are prepared for appointments and surgical procedures. The Patient Care Coordinator works closely with physicians, clinical staff, surgical facilities, and external partners to provide an exceptional patient experience and support efficient practice operations.

Core Responsibilities:

• Serve as a primary patient contact, delivering consistent, professional communication and support throughout the care journey.
• Maintain and optimize provider schedules, templates, and clinic flow to support efficiency and patient access.
• Coordinate surgical scheduling and related logistics, including pre-operative and post-operative appointments.
• Facilitate pre-operative readiness by ensuring completion of required imaging, labs, consultations, and medical clearances.
• Communicate and review procedural or surgical instructions with patients to ensure understanding and preparedness.
• Ensure all required documentation, records, imaging, and authorizations are obtained and verified prior to patient visits or procedures.
• Support coordination of add-on cases, schedule changes, and urgent patient or provider requests.
• Act as a liaison between patients, physicians, clinical staff, surgical facilities, and external partners.
• Coordinate insurance authorizations, financial clearance activities, and related administrative requirements.
• Manage patient-related correspondence, documentation, and administrative forms (e.g., FMLA, disability, records requests).
• Coordinate retrieval and organization of external medical records, imaging, and supporting clinical documentation.
• Maintain accurate and timely updates within scheduling systems and electronic medical records.
• Support clinic operations and cross-functional workflows, including coverage and assistance across team roles as needed.
• Maintain compliance with HIPAA and organizational policies while safeguarding all patient and sensitive information.
• Contribute to a collaborative, patient-centered environment focused on service excellence and operational efficiency.

Requirements

MINIMUM QUALIFICATIONS

• Minimum one year of experience in healthcare, patient coordination, scheduling, hospitality, or customer service required.
• Experience coordinating surgical procedures or physician scheduling preferred.
• Strong organizational, communication, and customer service skills.
• Demonstrated ability to manage multiple priorities in a fast-paced environment.
• Proficiency with electronic medical records, scheduling systems, and Microsoft Office applications.
• Ability to maintain professionalism, confidentiality, and accuracy while handling sensitive information.
• Strong problem-solving, critical thinking, and workflow management skills.
• Must maintain a professional attitude towards patients and an excellent and collegial working relationship with other Steadman Clinic and hospital personnel in involved in patient care.
• Must demonstrate understanding of procedures, policies and documentation required to ensure compliance with hospital standards of care.
• Excellent organization, communication (both written and verbal), and interpersonal skills required.
