JOB TITLE: Adoption and Licensing Representative (ALR)

STATUS: Non-Exempt, Part-Time
SUPERVISOR:   Adoptions Manager

Pay Range: $18.28-$18.28/hour

 
POSITION SUMMARY: 

The ALR is a compassionate animal lover and team player who has solid customer service skills, good attention to detail, and the ability to prioritize tasks. In addition to the essential duties of assisting clients with adoptions, they play a key role in overseeing animal licensing for all jurisdictions.

ESSENTIAL FUNCTIONS:

· Answer all phone calls and voicemails for the licensing extension.

· Process all mail-in, online, and walk-in pet license applications and payments; assign and send out license tags.

· Maintain updated records for both pet and owner account information.

· Maintain licensing files and applications.

· Maintain individual files and databases for all Enthusiast and Hobbyist licenses and issue appropriate certificates.

· Issue reminders for Enthusiast and Hobbyist licenses as needed, with appropriate follow-up.

· Run weekly, monthly, and quarterly reports in ShelterBuddy and PetTrack.

· Import accounts and licensing information from ShelterBuddy to PetTrack.

· Run monthly renewal and delinquent notices and follow up with phone calls.

· Maintain monthly files with copies of import files and outgoing licenses.

· Check license and certificate stock for each jurisdiction and work with the Adoptions Manager to order as needed.

· Maintain a good working relationship with the PetTrack representative and Animal Control, providing or requesting necessary information as needed.

· Provide kennel-cleaning support for all animal types, including cats/kittens, dogs/puppies, small animals, birds, livestock, and reptiles.

· Perform adoption counseling, review animal records, and complete paperwork to process adopted animals out.

· Perform meet and greets between resident dogs and adoptable dogs, ensuring that the home is a good fit.

· Process all transactions, including adoptions, inventory sales, and licenses.

· Maintain knowledge of animals in care and communicate that knowledge in a positive manner.

· Respond to email and phone inquiries from the public.

· Handle animals of all breeds, sizes, and temperaments; this includes walking dogs, showing dogs to interested clients, and performing dog meets with resident dogs. While most interactions are with dogs and cats, staff must be comfortable interacting with all animals, including livestock, fowl, small animals, reptiles, birds, and more.

· Perform other duties as assigned.

Requirements

  KNOWLEDGE/EXPERIENCE/EDUCATION OR TRAINING:

· Demonstrated customer service experience and skills.

· Comfort handling cats and dogs of all temperaments.

· Strong data-entry skills and proficiency with Microsoft Office.

· Computer literacy and experience working with Microsoft Office, email, and mobile devices.

· Skill in cashier duties, including cash handling, accurate customer transactions, balancing the till, and reconciling receipts.

· Hard-working, efficient, and proactive, with extremely strong time-management skills.

· Ability to remain composed and communicate respectfully and effectively with people of all backgrounds and personalities, even during difficult and emotional customer interactions.

· Excellent verbal and written communication skills.

· Ability to work collaboratively and productively as a team player with volunteers, peers, and other KHS staff.

· Professionalism, positivity, friendliness, tact, and sound judgment in interactions with staff, volunteers, and the public.

· Ability to work well under pressure, handle multiple tasks at one time, and work well both as part of a team and in a self-directed environment.

· Ability to lift 50 lbs. and physically bend, stoop, kneel, squat, twist, reach, and climb steps
