Legal Case Manager

Position Summary

The Legal Case Manager manages the complete lifecycle of legal collection accounts from pre-suit review through litigation, judgment enforcement, and account resolution. The role serves as the primary liaison between clients, consumers, attorneys, courts, vendors, and internal departments while ensuring compliance with all applicable federal and State of Hawaii laws and regulations.

Responsibilities

·         Review and qualify accounts for Small Claims and other legal action in accordance with company policies and Hawaii legal requirements.

·         Coordinate Suit authorizations, litigation referrals, attorney assignments, and court filings.

·         Maintain complete and audit-ready legal case files and supporting documentation.

·         Coordinate hearings, mediations, trials, service of process, and court scheduling.

·         Prepare, review, organize, and maintain legal documentation and evidence.

·         Review medical account documentation and perform HIPAA compliance reviews and redactions when required.

·         Communicate with clients regarding case status, litigation progress, settlements, and recovery efforts.

·         Handle consumer inquiries, debt validation requests, disputes, and judgment-related correspondence.

·         Negotiate settlements and structure payment arrangements within approved authority.

·         Execute post-judgment collection efforts including wage garnishments, bank garnishments, skip tracing, employment verification, and asset investigations.

·         Locate garnishes and pursue judgment enforcement opportunities.

·         Monitor attorney, vendor, and process server performance.

·         Supervise and provide guidance to Legal Administrative Assistants.

·         Prepare management and client reports regarding legal inventory, recovery performance, litigation costs, and case status.

·         Identify and mitigate legal, operational, and compliance risks.

Compliance and Legal Knowledge Requirements

·         Fair Debt Collection Practices Act (FDCPA).

·         Health Insurance Portability and Accountability Act (HIPAA).

·         Applicable State of Hawaii collection statutes.

·         Hawaii Small Claims Court procedures and requirements.

·         Hawaii court filing, service of process, and judgment enforcement procedures.

·         Federal, state, and client-specific compliance requirements.

Education, Experience, Qualifications & Skills

·         Minimum 2-4 years of experience in legal collections, litigation support, legal operations, or judgment recovery.

·         Demonstrated experience managing or supporting Hawaii Small Claims proceedings.

·         Comprehensive knowledge of Hawaii legal and collections framework including applicable state and federal statutes.

·         Strong written, verbal, negotiation, organizational, and analytical skills.

·         Ability to manage high-volume litigation and post-judgment caseloads.
