HUMAN RESOURCES SPECIALIST

Location: Remote or San Ramon, CA
 

POSITION OVERVIEW

The Human Resources Specialist provides day-to-day support to the Human Resources team and serves as a resource for employees throughout the employment lifecycle. This position works closely with Human Resources Business Partners (HRBPs) to support employee inquiries, HR administration, reporting, employee records, employment changes, and offboarding activities.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Responsibilities include, but are not limited to:

• Support Human Resources Business Partners in responding to employee questions regarding employment, compensation, HR processes, policies, and other general HR matters.
• Serve as a resource for employees by helping answer routine HR questions and directing more complex matters to the appropriate HR team member.
• Maintain accurate and organized employee records and personnel files, including preparing, processing, and distributing employment-related documentation.
• Prepare and process documentation related to employee changes, including job, compensation, reporting structure, and other employment updates.
• Assist with maintaining accurate employee information within HR systems and records.
• Prepare and maintain HR reports across multiple employee data points on a monthly, annual, and ad hoc basis.
• Assist with data audits and identify discrepancies to help maintain accurate employee records.
• Facilitate verification of employment (VOE) requests and provide employees and third parties with appropriate guidance regarding The Work Number.
• Support the employee offboarding process, including employee and management communications, documentation, tracking, and coordination with appropriate internal departments.
• Track HR activities and follow up on outstanding documentation or action items to ensure timely completion.
• Assist Human Resources Business Partners with employee lifecycle activities and day-to-day HR administration.
• Provide administrative and project support for HR initiatives, programs, reporting, and special projects.
• Maintain a high level of confidentiality when handling employee information and sensitive HR matters.
• Perform other HR-related duties and projects as assigned.

QUALIFICATIONS AND EXPERIENCE:

• 2+ years of Human Resources experience preferred.
• Working knowledge of general HR practices and the employee lifecycle.
• Strong attention to detail, accuracy, and follow-through.
• Excellent organizational and time-management skills with the ability to manage multiple priorities.
• Strong written and verbal communication skills.
• Ability to provide professional and responsive support to employees and internal business partners.
• Ability to handle confidential and sensitive information with discretion.
• Strong problem-solving skills and willingness to research questions and find appropriate solutions.
• Comfortable working with employee data, reports, spreadsheets, and HR systems.
• Proficiency with Microsoft Office, including Excel, Outlook, and Word, preferred.
• Experience working with an HRIS preferred.
• Ability to work effectively both independently and as part of a collaborative HR team.

SUPERVISORY RESPONSIBILITIES Direct Reports: None

PHYSICAL AND ENVIRONMENTAL CONDITIONS:

This role operates in an ADA-compliant office environment and utilizes typical office equipment, including computers and other standard office technology. The position may involve periods of stationary work as well as movement throughout the workday. Flexibility to work additional hours when necessary to meet business needs and deadlines may be required.

COMPENSATION

Base Salary Range: $65,000–$75,000 annually.

The compensation range represents CMG’s good-faith estimate for this position at the time of posting. Actual compensation may vary based on factors including, but not limited to, relevant Human Resources experience, job-related knowledge and skills, qualifications, education, geographic location, and other business and organizational considerations.
