Job Details: Job Location: Capital Region Office - Albany, NY, Position Type: Full-Time, Education Level: Associates, Salary Range: $23.56 - $25.00Hourly, Travel Percentage: None, Job Shift: Day, Job Category: Human Resources, As an HR Coordinator, you’ll help shape one of the most important moments in an employee’s experience: how they are welcomed into the organization. You’ll guide new employees through the onboarding journey, keep people and processes connected, and make sure each person has the information, resources, access, and support needed to begin their role with confidence.
This is a role for someone who understands that onboarding is more than paperwork and checklists. You’ll build connections across Human Resources, Talent Acquisition, Training, Technology, and program teams, anticipate obstacles, follow through on important details, and help create a thoughtful, responsive experience. By preparing employees to succeed from day one, you’ll strengthen the workforce that supports youth, families, and communities every day.
The HR Coordinator coordinates the administrative execution of HR function with a focus on new employee onboarding and readiness. The position manages schedules, handoffs, documentation tracking, orientation logistics, communications, system access requests, and completion follow through. Human Resources retains ownership of employment policy, employment decisions, required employee records, and Human Resources content. Program and Training leaders retain ownership of program and learning content. This position has no direct reports.
Coordinate approved new employee onboarding schedules, communications, orientation logistics, materials, location readiness, and accountable handoffs.
Track required onboarding items, clearances, records, acknowledgments, system access, equipment, training assignments, and unresolved dependencies.
Partner with Talent Acquisition and Human Resources to confirm approved start dates, employment documentation, policy requirements, benefit communication, and employee record completion.
Partner with Training and Learning and program leaders to coordinate required learning, program orientation, supervisor connection, and role specific readiness.
Maintain accurate onboarding trackers, completion records, service measures, issue logs, and audit evidence in approved systems.
Communicate promptly and respectfully with new employees, hiring leaders, Human Resources, Training, Information Technology, Facilities, Payroll, and Program.
Identify incomplete or delayed items, follow through with accountable owners, and escalate risks to the Director of Human Resources.
Support onboarding surveys, service improvement, workflow documentation, templates, and approved automation.
Protect confidential candidate and employee information and follow role based access and record requirements.
Perform other duties as assigned.
Qualifications: Job Requirements
Associate degree in Human Resources, business, administration, human services, or a related field preferred. Equivalent relevant experience may be considered.
At least two years of onboarding, Human Resources operations, recruiting coordination, training coordination, program administration, or high volume administrative experience preferred.
Strong organization, communication, follow through, customer service, documentation, scheduling, and systems skills.
Ability to manage detailed, deadline driven work and recognize matters requiring Human Resources, Compliance, Program, Training, or leadership escalation.

Physical Requirements
The position requires prolonged periods of sitting and computer use, with regular standing, walking, speaking, listening, reading, and repetitive hand or keyboard activity.
The employee must be able to move throughout office and program locations and use stairs where required.
The employee may occasionally lift or carry materials weighing up to 20 pounds.
Specific vision abilities include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
Local travel between HGS locations and community sites may be required. A valid driver's license and acceptable driving record are required when operating an agency or personal vehicle for business.

Analyze complex information, identify risk, solve problems, and exercise sound judgment within the authority of the position.
Prioritize competing demands, meet deadlines, and adapt to changing circumstances or urgent needs.
Communicate clearly and respectfully in writing and verbally with employees, leaders, youth, families, partners, regulators, and other stakeholders.
Maintain attention to detail, confidentiality, emotional self management, and professional boundaries when handling sensitive matters.
Work Environment Requirements
Work is performed primarily in office settings, with periodic work in residential, clinical, community based, campus, or field settings based on position responsibilities.
Regular interaction with employees, leaders, youth, families, visitors, vendors, community partners, auditors, counsel, and regulators may be required.
Travel between agency locations and occasional evening, weekend, or emergency response availability may be required based on role responsibilities.
The employee must comply with all TFY policies, safety standards, risk reduction practices, confidentiality requirements, documentation expectations, regulatory obligations, and site specific procedures.
