Job SummaryWe are seeking a motivated and outgoing Office Coordinator to provide administrative and operational support to the agency and serves as a primary point of communication between agency administration, clients, caregivers, family members, case managers, health departments, and other community or healthcare partners.

This position is responsible for monitoring client and caregiver records, assisting with scheduling and required health-related visits, tracking missing documentation, monitoring agency communications, reviewing caregiver timekeeping discrepancies, and completing administrative tasks assigned by agency leadership.

The Office Coordinator helps ensure that client services, caregiver documentation, communication, and administrative records remain organized, current, and compliant with agency policies and applicable requirements. 

This is a part-time position for 30 hours per week. 

Responsibilities 

• Develop, update, and maintain relevant office procedures
• Create and maintain an organized filing system
• Greet and assist clients as they arrive
• Answer incoming phone calls and route them to the appropriate person
• Schedule appointments and maintain calendar
• Organize meetings and take accurate minutes 
• Write emails, memos, and letters and distribute them appropriately
• Perform basic bookkeeping activities
• Contribute to company reports
• Address and resolve staff/client concerns with a professional attitude
•  monitor client charts and track when health visits or other required services are due
• review caregiver files for missing or expired documents; follow up on missing documentation

Qualifications

• High school diploma/GED required, Associate’s degree or administrative training is preferred
• Previous experience as an Office Coordinator or in a similar position
• Understanding of basic bookkeeping principles
• Familiarity with standard office equipment such as printers and fax machines
•  computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
• Highly organized with excellent time management skills and the ability to prioritize projects
