Governance Administration Specialist

We are seeking an experienced governance administration professional to join our team and provide essential support to our Governance Operations, Security, and Compliance functions. The successful candidate will be highly organized, detail-oriented, and possess excellent written and verbal communication skills. This position plays a key role in governance administration, compliance coordination, documentation integrity, stakeholder enablement, and the effective execution of Governance Operations processes.

Responsibilites

• Ticket Administration: Create/update tasking tickets, collate tickets, generate ticket-related trend data, metrics, and reports. Assist in ticket categorization and assignment while coordinating high-priority tasking identified by senior engineers and people leaders.
• Workgroup Schedule and Meeting Management: Oversee scheduling and attendance for workgroup and cross-functional meetings, document meeting minutes, and track action items. Orchestrate all major meetings, including scheduling (and rescheduling), capturing meeting minutes, and tracking action items within Confluence.
• Capacity and Resource Analysis: Perform independent assessments of platform usage, infrastructure, and resources, conducting capacity analysis and coordinating with engineers to ensure resources are allocated effectively. Ensure the organization has adequate resources without over-allocating.
• Operational Strategy and Planning: Participate in the strategic planning of operational initiatives, including identifying risks, setting resource allocation priorities, and recommending improvements based on capacity analysis.
• Cross-Functional Coordination: Coordinate with cross-functional teams and stakeholders across Engineering, Security, Compliance, and Operations to identify dependencies, ownership, risks, blockers, and required actions and support timely execution of governance-related activities.
• Project Coordination: Participate in project management tasks, update project schedules, track task statuses, provide stakeholder updates, and create standardized briefings and presentations.
• Governance Administration: Responsible for overseeing Governance Operations administrative tasks. Periodically lead supply chain assessment efforts on behalf of the Governance Operations team.
• Service and Capacity Reporting: Generate reports on service level indicators, service objectives, and overall availability. Produce capacity reports related to system usage, along with infrastructure acquisition analysis related to the Silo for Research product.
• Budget and Financial Management: Oversee the budget and financial management for operational projects, particularly those related to infrastructure and service acquisition. Forecast resource needs and ensure that expenditures align with business objectives.
• Collaboration with Leadership: Collaborate directly with senior leaders (engineers, managers, directors, VPs) to identify critical road map items, high-visibility actions, and assign tickets. Coordinate with SMEs to estimate the level of effort and make tasking recommendations based on skills and available productive hours within the Operations division.
• Policy and Procedure Development: Develop and implement policies and procedures for Governance Operations, including those that enhance efficiency, reduce risk, and ensure compliance with industry standards.
• Compliance Training Administration: Track mandatory compliance training requirements, monitor completion status, follow up on overdue training, maintain training records, and support escalation of overdue items in accordance with Governance Operations procedures.
• Other duties as assigned.

Qualifications

• Bachelor’s degree in Business Administration, Operations Management, Information Technology, Cybersecurity or a related field preferred, or equivalent experience.
• 3+ years of professional administrative, operations support, governance, compliance, program coordination, or related experience.
• Proven experience in an administrative support role with demonstrated authority in independent decision-making and resource management.
• Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) or equivalent software.
• Strong written and verbal communication skills.
• Excellent organizational and time management abilities.
• Attention to detail and accuracy in all tasks.
• Strong analytical, problem-solving skills, and the ability to work independently.
• Experience working with senior leadership to coordinate tasking and analyze resource allocation.
• Budgeting and financial management experience, particularly related to operational projects.
• Must be a US Citizen.
• Subject to satisfactory adjudication of a background investigation.

Preferred Qualifications

• Experience with Jira, Confluence, or similar ticketing and documentation systems is highly desirable, including ticket tracking, dashboards, sprint boards, reporting, and workflow coordination.
• Cybersecurity, compliance, GRC, audit support, security operations, or IT operations experience preferred.
• Experience supporting onboarding, offboarding, access requests, training tracking, compliance evidence management, or governance-related workflows preferred.

Pay Range$28.00 - $32.00 per hour
