GIFT PROCESSING COORDINATOR

JOB SUMMARY

The Gift Processing Coordinator is responsible for the timely and accurate processing of gifts, preparing acknowledgment letters on behalf of One More Child, and ensuring integrity and confidentiality of all data maintained in the donor CRM. This team member will provide a broad range of support services for the Corporate Projects Department. This position requires a high level of emotional intelligence, and the ability to manage sensitive and/or confidential information with careful discretion.

The Gift Processing Coordinator will possess strong written and verbal communication skills, the ability to consistently assess priorities, and strong organizational and administrative skills. The successful applicant will enjoy working behind the scenes on administrative tasks to ensure a smooth-running office but also provide quality customer service both internally and externally. They will be able to efficiently executed tasks and communicate barriers. This role requires excellent collaboration on projects and the motivation to execute various individual tasks daily.

ESSENTIAL DUTIES AND FUNCTIONS

• Process all gift types from multiple systems, including but not limited to, cash, pledges, tributes, sponsorships, convention, ACH, online and employee.
• Prepare acknowledgment letters, inserts, and envelopes for mailing to ensure all donors are thanked according to OMC standards and IRS regulations.
• Ensure donor demographic data and individual gift details are accurately entered and/or updated in CRM per gift support.
• Manage receipt letters including editing for personalization.
• Maintains inventory of branded materials related to gift processing.
• Respond to requests for information both internally and externally in a positive and timely manner.
• Support Organizational needs including overflow calls and provide front desk support as needed
• Utilize Sharepoint for the review, storage and management of Department files
• Utilize the project management system (Asana) to update and manage tasks on assigned Projects
• Participate actively to ensure compliance in assigned areas of responsibility.
• Perform other duties as assigned

 REQUIRED EXPERIENCE AND QUALIFICATIONS

• High school diploma or GED
• Relevant experience in administrative and/or clerical work.
• Proficient in Microsoft 365, specifically SharePoint, Word, Excel, Teams and Outlook

PREFERRED EXPERIENCE AND QUALIFICATIONS

• CRM platform experience

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to use hands to finger, handle, or feel. The employee is occasionally required to walk and reach with hands and arms. The employee must be able to operate a forklift. Specific vision abilities required by this job include close vision. 

This job requires the ability to work in stressful conditions from time to time and remain focused for extended periods of time. The ability to lift up to 30 pounds (boxes, documents, and/or equipment) may be required on occasion.
