Role Overview
We are seeking a highly organized General Virtual Assistant to provide administrative and operational support to the client. In this role, you will help keep day-to-day operations running smoothly by managing schedules, updating CRM data, assisting with customer communications, and coordinating directly with the operations team. The ideal candidate brings prior experience supporting U.S.-based service businesses, particularly within logistics, dispatch, or high-volume customer service environments.
Key Responsibilities

CRM & Data Management: Manage and update booking details, work orders, and job notes accurately in SmartMoving or similar CRM systems. Track leads, quotes, and client communications.

Customer Communication: Serve as a primary point of contact for customers via email, phone, and chat to handle scheduling, confirmations, customer service concerns, and follow-ups, always maintaining a professional and friendly tone.

Dispatch Support: Support daily dispatch operations by verifying job details, confirming mover assignments, and ensuring overall schedule accuracy.

Administrative Duties: Assist with core administrative tasks including invoice tracking, data entry, and report generation.

Team Coordination: Coordinate seamlessly with the internal operations team to resolve client inquiries quickly and update progress logs.
Requirements & Qualifications

Experience: 2+ years of experience in customer service and administrative support, preferably as a Virtual Assistant.

Technical Proficiency: Hands-on experience using CRMs (HubSpot, Jobber, etc.) and proficiency in Google Workspace (Sheets, Docs, Calendar).

Communication Skills: Strong written and spoken English communication skills.

Core Competencies: Highly organized, detail-oriented, and capable of multitasking and managing multiple priorities effectively in a fast-paced environment.

Remote Infrastructure: Must have a dedicated, noise-free home office setup equipped with a reliable, high-speed internet connection and a backup power source.

Direct, hands-on experience using SmartMoving CRM is highly preferred.
