Job Title: Faith Formation & Stewardship Assistant, Full-time (35 hrs./wk.)
Reports to: Director of Religious Education/ Pastor
Location: Epiphany Cathedral, Venice, FL
Classification: Hourly/Nonexempt
Overview
The Faith Formation and Stewardship Assistant supports the departments with administrative duties. This position also supports maintaining the office clean and organized and with coverage in the front office when necessary.
Job Responsibilities
- Provide administrative and program support to the Director of Religious Education and the Youth & Young Adult Coordinator.
- Assist with the planning, coordination, and set-up of all Faith Formation programs, including Faith Formation classes, Youth Group, Confirmation, Young Adult programs, OCIA (Order of Christian Initiation of Adults), catechist programs, and adult faith formation, including sacramental ceremonies as needed.
- Record, maintain, and report attendance for all Faith Formation programs and activities.
- Provide timely and professional communication and support to individuals, families, catechists, and volunteers involved in Faith Formation programs, in collaboration with the Director of Religious Education and Youth & Young Adult Coordinator.
- Maintain accurate and up-to-date data entry, records, filing systems, both electronic and hard copy for the Faith Formation Department.
- Maintain sacramental records, including Sacramental Books and ParishSOFT records, and provide required updates and documentation to other parishes as needed.
- Prepare, create, document, and distribute sacramental certificates and related documentation.
- Compile, prepare, and maintain Faith Formation handbooks and related program materials.
- Attend required diocesan meetings, workshops, and training sessions.
- Create, maintain, and continually update the Faith Formation Assistant Manual.
- Coordinate the scheduling and logistics of standardized examinations, such as ARK testing, and safety training programs, such as SET training.
- Prepare and distribute all necessary materials for examinations, training sessions, and related programs.
- Enter and maintain accurate records of student participation and performance in standardized examinations and safety training programs.
- Maintain confidentiality and ensure the proper handling of sensitive student, family, sacramental, and parish information.
- Record volunteers’ information in Virtus and Volgistics supporting the Stewardship Department.
- Notify candidates when fingerprint expiration is approaching.
- Assist candidates scheduling with fingerprints as needed.
- Perform other duties and administrative responsibilities as assigned by the Director of Religious Education, Operations Manager and Rector.
Qualifications
- Associate degree (AA) preferred.
- 2-3 years of experience in an administrative assistant or similar administrative role preferred.
- Proficiency in Microsoft Office Suite, including Outlook.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills.
- Ability to prioritize multiple responsibilities and meet established deadlines.
- High level of professionalism and confidentiality.
- Strong interpersonal skills and the ability to work effectively as part of a team.
- Commitment to and understanding of the Catholic faith and the mission of the Catholic Church.
- Ability to work evenings and weekends as needed for Faith Formation programs, events, and sacramental celebrations.
Preferred Qualifications
- Bilingual in English and Spanish.
- Experience working in a parish, school, nonprofit, or other faith-based organization.
- Experience with ParishSOFT or similar parish management software.
