Academic Assistant II

High school diploma or equivalent and three years of relevant experience.

This 0.75 FTE position is time-limited. The Academic Assistant II will be part of a team that supports faculty and staff in the UF Institute of Food and Agricultural Sciences (UF/IFAS) and College of Agricultural and Life Sciences (CALS) through the CALS Faculty Instructional Resources and Support Team (FIRST). The Academic Assistant II will communicate with faculty, staff and external clients and support overall operations of the UF/IFAS Extension Online Learning initiative, which helps UF/IFAS Extension and CALS faculty develop and deliver non-credit online courses and programs to community and workforce learners. Tasks and responsibilities include:

• Manage captioning workflows and quality assurance. Manage and assign tasks to captioning assistants, check caption files for accuracy, and edit captions for Extension Online courses.
• Assist with administrative tasks related to the UF/IFAS Extension Online Learning platform in both the course and registration systems, including but not limited to creating and editing course shells and course listings, exporting and formatting reports, and managing permissions and access.
• Provide enrollment and ongoing support for learners of non-credit courses. Provide support through email, phone, and other communication channels for basic external and internal client technical issues and questions, managing and responding to support requests for UF/IFAS Extension Online Learning courses.
• Plan and coordinate logistics of program meetings, trainings, and events. Communicate with and liaise with other UF/IFAS and UF units, departments and programs.
• Assist in improving customer service for faculty and learners and the quality of UF/IFAS Extension Online Learning offerings through development and documentation of efficient processes and workflows.
• Assist with course development activities and with development of training and resource materials and communications for IFAS and CALS faculty.
• Participate in general operations of UF/IFAS Extension Online Learning and CALS FIRST.

High school diploma or equivalent and three years of relevant experience.

• Degree in an area related to the educational programming of UF/IFAS Extension and the College of Agricultural and Life Sciences.
• Experience administering the Canvas Learning Management System and the Catalog course registration system.
• Experience creating and editing video captions, managing video captioning workflows, and providing quality assurance to captioning projects.
• Experience providing technical support to faculty and learners.
• Strong attention to detail and dedication to accuracy, strong organizational skills, and ability to meet deadlines.
• Critical thinking and problem-solving skills and ability to work proactively and take ownership of responsibilities and/or problems.
• Ability to communicate effectively in person, on the phone, and in writing.
• Comfortable using technology for educational, data entry, and communication purposes (Microsoft Office tools including Teams; Adobe Acrobat; videoconferencing, etc.), and willingness to learn and use new technologies.
• Ability to work independently with minimal supervision and to work collaboratively as part of a team.

Open to current UF Employees only. This is a time-limited position that is 30 hours/week (0.75 FTE).
