Executive Assistant

POSITION SUMMARY: The Executive Assistant will provide high-level administrative support to the CEO/President, members of the Executive Leadership Team (ELT), and the HR team through employee event planning.  *This is a part-time position. 

DUTIES AND RESPONSIBILITIES:

• Provides high-level administrative support and assistance to the CEO/President and the members of the ELT.
• Performs clerical and administrative tasks including drafting letters, memos, reports, and other documents for executives.
• Manages and schedules the calendar of the CEO/President; arranges travel, as needed. Prepare trip briefs such as itinerary, agendas, meeting times, venue details, etc.
• Schedules and may attend meetings, note taking and recording minutes, as needed.
• Provides support for customer or any other visitations through coordinating and arranging food and beverages and any necessary meeting supplies.
• Receives incoming mail and distributes contents to appropriate staff, raising level of awareness for important incoming documents to executive, accounting and HR team members as needed.
• Performs office tasks including maintaining the organization of and visual presence of all conference rooms and building common areas, keeping inventory of and ordering office supplies, and maintaining any records as necessary.
• Assists the HR department through planning and coordinating all employee events and keeps HR informed of all event planning.
• Performs additional duties as assigned by executives.
• Performs other related duties as assigned. 

SUPERVISORY RESPONSIBILITIES:

• This job has no supervisory responsibilities.

QUALIFICATIONS:

• High School Diploma or General Education Degree (GED), and two to three years’ experience supporting executives preferred
• Computer skills required: Microsoft Office, Excel
• AI proficiency

This position requires use of information or access to processes subject to national security controls under U.S. export laws including but not limited to International Traffic in Arms Regulations (ITAR).
