Summary/Objective:
The Executive Administrator Intern will participate in a structured J-1 internship program that progresses through orientation and foundations of executive business operations, cross-functional project coordination and executive communications, and strategic executive support and advanced business operations coordination. Under continuous supervision, the intern will develop professional communication, meeting preparation, project coordination, event planning, information synthesis, process analysis, and organizational effectiveness skills. All assignments, recommendations, communications, and project contributions will remain subject to supervisory guidance, review, correction, and approval.
Responsibilities:
- Become familiar with USA DeBusk's organizational structure, industrial-services business environment, executive operating practices, departmental relationships, and communication pathways while participating in supervised executive-support activities.
- Evaluate meeting objectives, organize background information, identify participants, and prepare supporting materials for meetings and leadership discussions under supervision.
- Prepare supervised drafts of executive communications, internal summaries, meeting materials, project updates, briefing materials, presentations, and decision-support narratives.
- Participate in supervised project coordination by identifying objectives, milestones, stakeholders, dependencies, risks, decision points, expected outcomes, and communication requirements.
- Coordinate defined components of cross-functional initiatives with Operations, Human Resources, Finance, Marketing, and Sales under supervisory direction.
- Support the planning of customer meetings, leadership sessions, employee programs, and corporate functions by evaluating objectives, participant requirements, logistics, resource considerations, communication needs, and post-activity assessment.
- Review administrative workflows, identify coordination constraints and communication bottlenecks, and develop structured recommendations for supervisory evaluation.
- Synthesize information from multiple departments, identify unresolved questions and assumptions, distinguish operational issues from strategically significant concerns, and develop recommendations for leadership review.
- Analyze stakeholder relationships, functional priorities, communication preferences, competing objectives, and implementation constraints while remaining within the boundaries of the training role.
- Complete a supervisor-directed capstone initiative involving analysis, findings, recommendations, and presentation to designated leadership personnel.
- Participate in orientation sessions, demonstrations, guided exercises, supervised drafting, workflow mapping, revision cycles, project examples, supervisory checkpoints, presentation coaching, and feedback discussions.
Qualifications
Knowledge, Skills, and Abilities:
- Knowledge of executive operating structures, organizational communication channels, stakeholder relationships, confidentiality considerations, and administrative coordination.
- Meeting analysis, agenda development, contextual research, information synthesis, and meeting-material preparation.
- Project coordination, workstream decomposition, milestone sequencing, dependency analysis, stakeholder mapping, risk identification, escalation awareness, and structured status reporting.
- Professional writing and interpersonal communication, including audience awareness, issue framing, logical information organization, contextual analysis, and executive-level concision.
- Meeting and corporate-event coordination, including objective alignment, stakeholder expectations, resource considerations, communication sequencing, contingency preparation, and post-activity assessment.
- Process mapping, workflow analysis, root-cause reasoning, systems thinking, evidence-based recommendations, feasibility assessment, and consideration of limitations and tradeoffs.
Education and Experience:
Must meet the eligibility requirements for participation in a J-1 Exchange Visitor Internship Program.
Supervisory Responsibility:
None. The intern will not have independent authority over projects, personnel, or organizational decisions.
Work Environment:
Professional office environment with supervised participation in meetings, training activities, cross-functional projects, executive-support activities, and selected corporate functions.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer. Must be able to communicate effectively in person, by telephone, and electronically. Must be able to occasionally move office materials and supplies weighing up to 15 pounds.
