Responsibilities

What You'll Do

The Marketing Events Specialist manages the planning, coordination, execution, and measurement of national events and conferences that advance Personify Health’s Wellbeing growth strategy. This role helps bring event plans to life by managing logistics, coordinating vendors and materials, supporting internal stakeholders, tracking key details, and ensuring events are executed consistently, professionally, and on schedule. 

Reporting to the VP, Integrated Marketing, this position serves as a hands-on event operations partner for the Wellbeing business. The role is responsible for coordinating event promotion, timelines, registration and reporting workflows, vendor communications, budget tracking inputs, stakeholder updates, shipping and inventory needs, and on-site support for priority events. The ideal candidate is highly organized, detail-oriented, responsive, and comfortable managing multiple event workstreams in a fast-paced marketing environment.

This role helps ensure event participation is well organized, brand-consistent, and supported by strong preparation and follow-through. Success in this role contributes to smooth execution, stronger sales partnership, timely lead capture, accurate reporting, and a high-quality experience for prospects, clients, partners, and internal attendees.

Essential Responsibilities 

Event Planning and Stakeholder Coordination 

• Support the national Wellbeing event and conference calendar by coordinating planning details, timelines, deliverables, and stakeholder inputs aligned to approved event goals and priorities. 
• Partner with Demand Generation, Marketing Operations, Sales, Product Marketing, Account Management, Consultant Broker Relations (CBR), Creative, Procurement, Finance, and other stakeholders to gather requirements, confirm deliverables, and keep event plans moving forward. 
• Assist with sponsorship, speaking opportunity, booth, promotional, and attendee engagement planning by collecting information, tracking decisions, and preparing materials for stakeholder review. 

End-to-End Event Execution 

• Coordinate planning and execution for assigned national events and conferences; support regional events, partner events, and virtual experiences as needed. 
• Manage core event logistics, including timelines, vendor coordination, shipping, A/V needs, booth materials, speaker details, registration requirements, attendee communications, and on-site support. 
• Create and maintain event project plans, checklists, run-of-show documents, attendee lists, stakeholder updates, landing page inputs, and post-event recap materials. 
• Travel as needed to support on-site execution, help manage setup and attendee experience, and escalate issues to the appropriate internal or external partners. 

Budget Tracking and Event Reporting 

• Track event budgets, purchase requests, vendor approvals, invoice status, and final costs in partnership with Finance, Procurement, and Accounts Payable. 
• Maintain accurate event records, including attendance, meeting requests, lead capture details, campaign association, follow-up status, and post-event notes. 
• Coordinate with Marketing Operations, Sales, and CBR to support lead routing, Salesforce campaign setup, landing page requests, attribution tracking, and post-event follow-through. 
• Compile post-event feedback and performance inputs to help identify what worked well, what should improve, and what follow-up is needed.

What You Bring to Our Team

Education, Experience, and Qualifications 

• Strong organizational and project coordination skills with the ability to manage multiple timelines, vendors, deliverables, and stakeholder requests simultaneously. 
• Excellent written and verbal communication skills, including the ability to craft email and web copy, create clear updates, instructions, recaps, and stakeholder communications. 
• High attention to detail, strong organizational discipline, and comfort managing logistical complexity under tight timelines. 
• Foundational commercial awareness with the ability to understand how events support audience engagement, lead generation, sales follow-up, and measurable marketing outcomes. 
• Ability to work independently on assigned tasks, solve problems in real time, stay composed during live events, and collaborate effectively across teams. 
• Willingness and ability to travel regularly for conferences, events, and on-site execution as business needs require. 

Work Environment 

This role operates in a fast-paced, collaborative marketing environment and requires regular coordination with internal stakeholders, external vendors, event organizers, and commercial partners. The position may require travel, occasional evening or weekend availability tied to event schedules, and the ability to remain organized and responsive while managing concurrent priorities.

Physical Requirements 

• Must be able to remain in a stationary position for extended periods of time. 
• Must be able to operate a computer and other office productivity tools. 
• Must be able to communicate information and ideas so others can understand and exchange accurate information in these situations. 
• May occasionally need to move event materials, supplies, or equipment consistent with business needs and reasonable accommodation practices.

Compensation: This position offers a base salary range of $68,645 - $75,000, depending on location, skills, and experience. You're eligible for our full benefits package starting day one.
