Job Summary

The Events and Logistics Specialist coordinates end-to-end logistical support for TSA recruiting events, job fairs, and TSA-hosted hiring events. The role manages event identification and registration, venue arrangements, shipments, secure storage, Government-furnished inventory, replenishment, records, and the weekly event schedule while coordinating closely with TSA and the broader project team.

This is a contingent hire position.

Offers will be contingent upon client approval, ability to meet security requirements, and the ability to adhere to any on-site requirements (which may change at contract award).

Remote work is anticipated. However, occasional travel for client engagements may be required.

Primary Responsibilities

• Research and identify recruiting events and job fairs that align with TSA hiring needs and prepare event recommendations for TSA review and approval.
• Register TSA for approved recruiting events and job fairs through approved platforms and event organizers, including completing agreements and reserving booth or event space as required.
• Identify and procure appropriate space for TSA-hosted recruitment and hiring events, which may include conference rooms, booth space, or other event venues based on event requirements.
• Coordinate shipment of event supplies and materials to and from event locations, tracking deliveries, returns, and any issues that could affect event readiness.
• Manage secure storage of existing and new Government-furnished equipment and event materials, maintaining accurate inventory records and appropriate control of client property.
• Monitor inventory levels and coordinate restocking or replenishment of event supplies and materials as needed to support upcoming recruiting activities.
• Maintain complete digital records of event registrations, agreements, shipments, inventory status, venue information, and other logistics details, and provide regular updates to TSA.
• Maintain and provide a current weekly schedule of all registered recruitment events, including event dates, locations, status, logistics requirements, and relevant updates.
• Complete or coordinate required TSA Form 251 and TSA Form 251-1 shipping and receiving documentation for Government-furnished equipment within required timelines.
• Coordinate with TSA and internal project team members to confirm approvals, event requirements, shipping timelines, materials, and occasional on-site support needs before each event.

Minimum Qualifications

• At least two (2) years of experience coordinating recruiting events, job fairs, conferences, hiring events, or comparable event and logistics activities.
• Bachelor’s degree in business, communications, marketing, hospitality, event management, logistics, or a related field.
• Experience managing event registration, venue or booth reservations, organizer coordination, shipping, storage, inventory, and event readiness across multiple concurrent events.
• Experience maintaining event schedules and accurate digital records for registrations, shipments, inventory status, and logistics activities.
• Ability to manage client-owned or Government-furnished event materials securely and coordinate receiving, shipping, replenishment, and inventory control requirements.
• Ability to obtain and maintain a Public Trust clearance.
• Legal authorization to work in the U.S.
