Job Details: Job Location: Dormont - Pittsburgh, PA, Salary Range: Undisclosed, Chartiers Center is a private, non-profit corporation funded by state, county, third party insurances and private funds. Services include intake, referral, outpatient therapy, psychiatric assessment, service coordination, substance abuse treatment, training and social rehabilitative services, crisis intervention, partial hospitalization, community outreach, day, and recreational services for adults with intellectual disabilities, homeless outreach, and housing program.
As a Program Secretary for our IDD Day Program with Chartiers Center, you would be responsible for providing administrative and operational support for our Day Program that supports individuals with intellectual and developmental disabilities. The position plays a vital role in ensuring the efficient day-to-day functioning of the program while supporting a team dedicated to enhancing the independence and community engagement of adults with intellectual and developmental disabilities.

Job Responsibilities include:
Provide comprehensive administrative support to the IDD Day Program management and staff.
Serve as the primary point of contact for incoming phone calls, visitors, and general program inquiries.
Maintain participant records, documentation, and confidential files in accordance with agency policies and regulatory requirements.
Prepare, process, and distribute correspondence, reports, meeting materials, program communications, and other administrative documents.
Assist with data entry and recordkeeping
Coordinate scheduling of appointments, meetings, and program events.
Support billing, purchasing, supply ordering, and other program-related administrative processes as needed.
Ensure accurate and timely completion of required paperwork and regulatory documentation.
Maintain organized filing systems and assist with special projects assigned by the Director
Uphold confidentiality standards and demonstrate professionalism in all interactions.
The ideal candidate possess:
Proficiency in Microsoft applications, including Word, Excel, Outlook and Teams
Previous administrative, secretarial or office support preferred
Strong organizational, multitasking and time management skills

Proven ability to prioritize tasks, work independently, and maintain productivity in a fast-paced environment with minimal supervision.
Strong interpersonal, communication, and customer service skills, with the ability to build positive and professional relationships.
Demonstrates sound judgment, confidentiality, and the ability to handle sensitive situations with tact, discretion, and professionalism.
Displays a positive attitude, flexibility, and a willingness to learn and take on new responsibilities to support program operations and organizational goals.
Qualifications:
High School diploma/GED and 4 years’ experience
OR
Diploma from Accredited Secretarial/Business School and 2 years’ experience and computer skills
Experience with an electronic health record is a plus!
