Creative Operations Associate

We're looking for a detail-oriented Creative Operations Associate to provide structured operational support within the Creative department. You'll be the essential partner to designers, brand leads, and content creators — keeping projects moving, production logistics coordinated, and assets organized so the creative team can focus on producing high-quality work efficiently and consistently.

Reporting directly to the Global Creative Director, this role is embedded within the creative team and is accountable for process efficiency, not creative oversight.

How You'll Contribute:
● Project & Workflow Coordination:
○ Coordinate day-to-day project management across campaigns, product launches, and ongoing brand initiatives — timelines, input tracking, and deliverable oversight
○ Serve as the primary point of contact for stakeholders (brand, marketing, product) on timelines, status, and deliverable logistics, routing creative or strategic discussions to the Creative Director
○ Triage and route incoming creative requests in collaboration with the Creative Director, keeping workload realistic and sustainable

● Systems & Asset Management:
○ Administer and maintain the creative team's internal systems, including project boards, file naming conventions, production templates, and internal DAMs
○ Manage Xometry's digital asset library, keeping files current, accurately tagged, and accessible

● Production Support:
○ Support photo and video shoot logistics, including scheduling, vendor coordination, and on-site logistics
○ Assist with booking and managing freelancers — scheduling, onboarding, and tracking deliverables against scope
○ Trace vendor invoices against approved estimates and record expenditures in departmental budget trackers as needed
○ Assist with light content production tasks — formatting decks, resizing assets, basic copy edits — as needed

● Process Improvement:
○ Work with the Creative Director to identify recurring operational inefficiencies and develop systematic, repeatable solutions in partnership with the broader creative team

What You'll Bring to Xometry:
● Experience: 1–3 years in creative operations, studio coordination, or production support within a creative or marketing environment
● Creative Workflow Fluency: Demonstrated ability to operate effectively within a creative team, with a working understanding of design workflows and common operational pain points
● Process Building: Experience developing internal creative workflows
● Tools: Proficiency with Jira and other project management systems, and working familiarity with Adobe Creative Suite, Figma, and Canva
● AI & Technical Fluency: Proficiency with AI tools, particularly Claude, to research and build time-saving systems, including custom AI skills and other AI learning protocols
● Brand Sensibility: Strong ability to identify quality or consistency issues and communicate findings clearly
● Organization: Highly organized with strong attention to detail and the capacity to adapt when priorities shift
● DAM Experience: Experience operating digital asset management systems is advantageous

Preferred:
● Prior experience supporting an in-house creative or brand team, as distinct from agency or broader marketing operations contexts
● Familiarity with templating tools or self-serve asset platforms
● Exposure to content scheduling or campaign coordination processes
