Job Description

Job Details: Job Location: Glynn BHCC - Brunswick, GA, Salary Range: $17.00Hourly, The Clerk I provides administrative, clerical, and customer service support to Behavioral Health and Intellectual and Developmental Disabilities (IDD) programs. Responsibilities include scheduling appointments, maintaining records, entering data, preparing correspondence and reports, processing program-related documentation, and assisting consumers, staff, and visitors. This position serves as an administrative resource to assigned departments while ensuring efficient office operations and excellent customer service.

Essential Functions:

Greets visitors, consumers, family members, and staff; determines the purpose of visits and directs individuals appropriately.
Uses agency-approved scheduling software and electronic systems to schedule consumer appointments.
Performs data entry and maintains records in accordance with agency policies and procedures.
Collects fees and payments for services when assigned.
Performs clerical duties including copying, scanning, filing, record maintenance, and document distribution.
Completes forms and documentation in accordance with organizational procedures.
Utilizes Microsoft Office applications to prepare correspondence, reports, meeting notes, and other documents.
Purchases, tracks, and maintains office supplies and stock items as assigned.
Receives, opens, routes, and distributes incoming mail, email, and other correspondence.
Answers telephones, responds to inquiries, takes messages, and transfers calls appropriately.
Maintains confidentiality of consumer, personnel, and organizational information.
Prepares and distributes reports to appropriate individuals and departments.
Maintains personnel, consumer, and administrative files in an organized manner.
Records and maintains meeting minutes and related documentation.
Performs responsibilities with minimal supervision.

Knowledge of the Georgia Open Records Act.
Knowledge of agency confidentiality requirements.
Knowledge of agency-specific forms, software, and operational procedures.
Knowledge of scheduling systems and office workflow processes.
Ability to communicate effectively both verbally and in writing.
Ability to answer telephones, direct calls, and take accurate messages.
Ability to assist staff, consumers, and visitors professionally.
Ability to sort, route, and process incoming and outgoing correspondence.
Ability to identify customer needs and respond appropriately.
Ability to make sound decisions regarding daily work assignments.
Ability to greet the public and maintain positive working relationships.
Ability to work independently with minimal supervision.
Ability to prioritize duties and meet established deadlines.

Primary Responsibilities, but not limited to:

Provides clerical and administrative support for Behavioral Health and IDD programs.
Schedules appointments and maintains electronic calendars as assigned.
Processes documentation, reports, and correspondence.
Maintains records, files, and databases.
Provides customer service assistance to visitors, consumers, and staff.
Supports daily office operations and workflow efficiency.
Processes fees, forms, and reports as assigned.
Assists with departmental projects and administrative functions.

Required Education & Experience:

One (1) year of related administrative, clerical, customer service, or office support experience; OR
One (1) year at the lower level or equivalent position.

Upon appointment to the position, the employee assumes responsibility for meeting and maintaining all minimum qualification requirements, including applicable certifications, licenses, continuing education, competency validations, and mandatory annual or recurrent training. Failure to maintain such requirements may affect eligibility to perform assigned duties.

Supervisory Responsibilities:

None.

Work Environment:

This position operates in a general office environment and routinely uses standard office equipment, including computers, telephones, printers, scanners, photocopiers, and related technology. Minor travel between Gateway locations may be required.

Physical Demands:

The physical demands described here are representative of those necessary to successfully perform the essential functions of this position.

Frequently walks, sits, stands, and kneels.
Occasionally climbs, balances, bends, and stoops.
Frequently lifts and/or moves up to 15 pounds.
Works at a computer for extended periods.
Frequently utilizes fine hand-eye coordination, hearing, and visual acuity.
Travels between Gateway sites as required.
Works in an environment with adequate lighting and temperature control and minimal exposure to hazardous conditions.
Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the position.

Does not engage in activities other than official business during work hours.
Does not report to work under the influence of alcohol or drugs.
Adheres to Gateway’s Standards of Conduct 3.13 and Employee Ethics 3.23.
May be required to remain at or return to work during agency incidents or emergencies and may work non-traditional schedules as necessary to support agency operations.
