Call Representative – Specialty Offices
Coastal Health is seeking a friendly, dependable, and professional Call Representative to join our Call Center team supporting our specialty offices. This position is responsible for handling inbound patient calls and providing excellent customer service while assisting patients with scheduling, questions, and general office needs.
The ideal candidate is comfortable speaking with a high volume of patients, has excellent communication skills, and can remain calm and professional in a fast-paced environment.
Responsibilities:
Answer a high volume of inbound patient calls in a professional and courteous manner
Assist patients with scheduling, rescheduling, and canceling appointments
Provide general information regarding providers, office locations, and appointments
Route calls and messages to the appropriate specialty office or department
Take accurate and detailed patient messages
Assist patients with questions regarding their appointments and office procedures
Verify and update patient demographic information as needed
Document all calls and patient interactions accurately in the electronic medical record
Follow established call center procedures and workflows
Protect patient privacy and follow HIPAA guidelines
Provide exceptional customer service and create a positive patient experience
Work closely with specialty office staff to ensure patient needs are addressed
Handle difficult or frustrated callers professionally and with empathy
Meet department expectations for call quality, productivity, and attendance
Perform other duties as assigned
Qualifications:
Previous call center, customer service, or medical office experience preferred
Healthcare experience is a plus
Excellent verbal and written communication skills
Strong computer and data-entry skills
Ability to multitask while maintaining accuracy
Professional, patient, and friendly demeanor
Ability to remain calm and effective in a fast-paced environment
Strong attention to detail
Dependable and punctual
Ability to work well as part of a team

Qualifications: Minimum 1 year experience in the medical field preferred. Multi-tasking, Flexibility, Telephone Skills, Customer Service, Time Management, Organization, Attention to Detail, Scheduling, Word Processing , Professionalism, Quality Focus, Team driven attitude, ability to work in a fast-paced environment, and reliable transportation.
