Administrative Assistant

Location:         ACS Motion Control - Edina, MN

Reports to:     General Manager

Hours:            30 per week

ACS Motion Control is looking for an Administrative Assistant to support our USA team’s diverse business activities. We are looking for someone who thrives in a small office environment, has a service-oriented mindset, and is tenacious when it comes to solving challenging problems.

Duties and Responsibilities

Customer Service

·       Logistics and RMA admin support – work with carrier, customs broker, HQ office, and customer to resolve issues with shipments

·       Sales admin support – provide quotes/pricing according to sales manager request

·       Manage inventory of loans and demo units

HR

·       Process and manage payroll

·       Benefits administration e.g. 401k

·       Employee hiring, onboarding, termination support

·       Update policies and procedures in coordination with corporate HR

·       Event coordination

Marketing

·       Logistics and event coordination support

·       CRM database support

·       Social media account support

·       Materials/collateral creation support

Accounting

·       Issue payments to vendors, government agencies

·       Process payments from customers

·       Follow up with and collect payments from aging accounts

·       Process tax payments and support tax return processing

General/Office

·       Light shipping and receiving

·       Office supplies stocking

·       Communication with property manager

·       Handle main line phone calls, voicemails, mail

Requirements

Skills and experience

·       Proficient with Microsoft 365 tools – Copilot, Outlook, Word, Excel, SharePoint

·       Customer-facing administrative experience in a B2B company - Required

·       Business degree or certification - Advantage

·       HR administration experience - Advantage

·       Accounting/bookkeeping administration experience – Advantage

·       Marketing administration experience - Advantage
