The College of Agriculture and Life Sciences (CALS) at Virginia Tech is seeking a highly organized, detail-oriented Administrative Assistant to provide executive-level administrative and operational support to the Associate Dean for CALS Global.
This position serves as a primary administrative resource for CALS Global, managing complex scheduling, coordinating domestic and international travel, facilitating meetings and events, and supporting administrative processes that advance the college’s global engagement initiatives.
Key responsibilities include coordinating contract and agreement processes, monitoring sponsored program deadlines and fund closeouts, supporting procurement and financial transactions, facilitating personnel-related administrative actions, and managing logistics for events, visiting partners, and university engagements. The position works collaboratively with university offices, external organizations, vendors, and international partners to facilitate timely transactions, accurate documentation, and adherence to university procedures.
The successful candidate will demonstrate exceptional organizational and communication skills, sound judgment, discretion, and the ability to independently manage competing priorities while maintaining accuracy and responsiveness in a dynamic environment.
Required Qualifications
• Experience providing administrative support and coordinating daily operations in a professional office environment.
• Strong organizational skills, with the ability to manage multiple priorities, scheduling, travel, and deadlines.
• Proficiency with standard office technology, including Microsoft Office, electronic calendars, email, and spreadsheets.
• Strong communication and interpersonal skills, attention to detail, and ability to work independently and collaboratively.
Preferred Qualifications
• Experience supporting executive leadership and coordinating contracts, purchasing, or financial transactions.
• Knowledge of university policies, procedures, and administrative systems.
• Experience coordinating events or complex travel arrangements.
